Overview
This article explains the steps and best practices to configure Sisra Analytics correctly, ready for when you receive your school's KS4 Exam results in August 2026.
Prerequisites
You must be an administrator.
Steps and best practice
-
To publish with Data Collaboration report features enabled, before results day, opt in to Sisra’s 2025/26 Exams Data Collaboration and complete the necessary setup steps outlined in this checklist.
Go to CONFIG > Data Collaboration > 25/26 Exams > Opt In to opt in.
See Sisra Analytics: What is the Sisra Data Collaboration? for further information.
-
Ensure On Roll students and their filter values reflect those in the Y11 Spring Census in DATA > Select KS3/4 and Current Yr 11 > Students > Cohort.
If the data is not accurate:
- Manually update student filters, or
- Import a student census data file and select the following import options:
- Update Classes: No (to ensure the most recent classes remain in use).
- Update Filters: Yes.
- Update Statuses: Yes.
See Sisra Analytics: KS4 - Setting Up Spring Census Student Data (Admin) for further information.
-
Map your student filters and values to the Disadvantaged, Gender, and SEN filter values in DATA > Select KS3/4 and Current Yr 11 > Students > Key Filter Mapping.
See Sisra Analytics: Data Collaboration - Completing Key Filter Mapping (Admin) for further information.
-
KS2 Scaled Scores aren’t officially available for this cohort, so they do not have to be uploaded.
If your school has uploaded a conversion of Scaled Scores, go to DATA > Select KS3/4 and Current Yr 11 > KS2 / EAP > Baselines, and nominate English Reading as English Reading and Maths as Maths in the Core column.
See Sisra Analytics: How do I set up the 24/25 and 25/26 cohorts without KS2 Data? (Admin) for further information.
-
In DATA > Select KS3/4 and Current Yr 11 > Grades > Uploads > Exams upload all banked exams awarded prior to the students’ summer results (for example, early and offsite exams).
If you haven’t already, you may wish to upload Targets and any other grades data, for example, Assessments, that you’d like to be available for comparison with on Results Day. Do this from the relevant page in DATA > Select KS3/4 and Current Yr 11 > Grades > Uploads.
See Sisra Analytics: How do I upload Standalone Grades? (Admin) for further information.
-
Ensure all qualifications have been assigned to the appropriate set of classes in DATA > Select KS3/4 and Current Yr 11 > Students > Classes > Assign Quals.
See Sisra Analytics: Assigning Qualifications to Classes (Admin) for further information.
- Open DATA > Select KS3/4 and Current Yr 11 > Grades > Matching.
-
Select Edit. You should have one row for each qualification.
-
For all appropriate qualifications:
-
Set Include to Yes.
-
Assign the correct EAP with appropriate and Grade Method.
-
For access to the Data Collaboration (when released) ensure those qualifications listed under Current have Use QN enabled and are matched to the correct QN or Qualification in QN Title.
-
If a QN is not returned, they are likely unapproved, use a placeholder like Unapproved Maths or Unapproved None. See for Sisra Analytics: KS3/4 - Matching - Unapproved Qualifications / Qualification not listed (Admin) further information.
-
For KS3 subjects listed under Current without QNs, set Current to No.
-
- Save your changes
-
Check and resolve (if applicable) qualifications displaying
in DC Exams Check. This icon suggests a mismatch between the Grade Method setup in use (in the KS4 Exams term of your EAP), compared to the expected method based on the QN entered. Select the icon for a helpful pop out comparison.
-
If the points differ for official grades, you must resolve this for your figures to be accurate. See Sisra Analytics: KS3/4: Matching - DC Exams Check Troubleshooting (Admin) for further information.
Level 1 Pass (L1P) is worth different points in a BTEC First Award (1.75) than a BTEC Tech Award (1.25). Ensure your L1 grades are setup with the correct points for the qualification.
-
See Sisra Analytics: KS3/4: Completing the Matching page (Admin) for further information.
-
From DATA > Select KS3/4 and Current Yr 11 > Grades > Grades Management:
- Check the Grades Count reflects the number of grades you expect for each qualification.
- Resolve any warnings, for example, Missing Student Data
, Missing Class Data
, Grade Not in Method
and Sub Grades not Valid in this Data Set
. You will not be able to publish your Exams data set until all main issues are resolved
See Sisra Analytics: Grades Management (Admin) for further information.
- Publish Students from DATA > Select KS3/4 and Current Yr 11 > Students > Publish Students select Publish.
- Publish KS2 / EAP from DATA > Select KS3/4 and Current Yr 11 > KS2 / EAP > Publish KS2 / EAP select Publish.
- Publish Grades from DATA > Select KS3/4 and Current Yr 11 > Grades > Publish Grades select Publish.
- Publish any data sets or assessments you wish to be available for comparison on Results Day, with the same DfE Rules, A8 & VA Estimates. Remember, Progress 8 will not be available in reports, unless you upload an unofficial conversion of KS2 Scaled Scores. All attainment-based measures will be available as normal.
- Generate your tracker. You can include Exams in the final slot once available (Generate Tracker tab).
- Check for discrepancies or blank figures in the reports and resolve these before Results Day.
-
See Sisra Analytics: What does publishing mean? for further information.
- Check the correct members of staff have up-to-date login details and block / delete any staff who have left.
- Ensure only appropriate staff have access to view Embargo reports.
- Circulate the User Basics handout (see Sisra Analytics: Getting Started / User Basics) to staff, that includes a section on how to reset their login details.
