Sisra Analytics: Grades Management - How do I fix the Missing Student Data warning? (Admin)

Overview

This article explains the meaning of the Missing Student Data warning icon you may encounter when uploading grade files into Sisra Analytics for KS3/4 or KS/5, and how to resolve it. As part of the upload process, Sisra Analytics checks the grades you upload and flags any warnings.

The instructions below work for both KS3/4 and KS5.

Understanding the warning

The Missing Student Data icon indicates that at least one student with a grade uploaded in that qualification has no student data imported under the same ID. Analytics uses the Student ID to link the appropriate student with the correct grades, so it is vital to ensure that these IDs are consistent throughout all student data, EAP baselines or grades files imported or uploaded for a cohort.

Resolution

  1. Check if the student has data imported in Students > Cohort.
    1. If YES: Check that the Student ID is the same in both the Student and Grades files. If it differs, correct it and re-upload with the correct ID in Students > Import. If the Grades data has been imported incorrectly, this can be re-uploaded in Grades > Uploads. Select the red X to delete the previous data file. If the student data and the grades data have the same ID, this student data should be correctly recognised, contact us for further help.
    2. If NO: Continue to Step 2.
  2. Check if the student is supposed to be in this cohort, and therefore should have student data imported?
      1. If YES:

        1. Option 1: Upload an updated student data file including their missing student (Students > Import).
        2. Option 2: Manually add the student data:
          1. Open Grades > Grades Management > Manage Datasets
          2. As applicable, select the relevant dataset and assessment collection.
          3. Select Grade Count for the subject with the missing student data.
          4. Locate the student whose data is missing.
          5. Select the icon in Actions to Create Missing Student:
          6. From the new page, enter the student's filter values
          7. Select Save.
          8. Manually add their class information (unless the student has left the school) by selecting the Classes tab and select Add Class on the next page.

    Where a student is flagged as No Student Data and they have left the school, the student has been incorrectly deleted from the cohort. Recreate the student as detailed above, then set them as Left School in Students > Cohort (see Option 1 in Sisra Analytics: What do I do when a student leaves the school? (Admin) for further information).

    1. If NO, remove the student’s grades:
      1. Open Grades > Grades Management > Manage Datasets
      2. As applicable, select the relevant dataset and assessment collection.
      3. Select Grade Count for the subject.
      4. Locate the student who shouldn't be in the cohort.
      5. Place a check next to the Grade for the student you want to delete, then select Delete:
      6. Check Delete associated Judgements:
      7. Confirm deletion by selecting Delete Grades:


Outcome

Your grades data will be free from any issues related to Missing Student Data. No warning messages are displayed. Publish/republish your Grades from Grades > Publish Grades.
