Overview

This article explains how to manually enter statutory assessment data into Sonar Tracker. It covers the following statutory assessment types:

  1. Early Years Foundation Stage Profile (EYFSP / EYFS / ELG).
  2. Phonics Screening Check.
  3. End of Key Stage One (optional) - teacher assessments and test scores.
  4. Multiplication Tables Check (MTC).
  5. End of Key Stage 2 - teacher assessments and test scores.

Statutory assessment data should only be manually entered into one system. From that system, it should be electronically exported and imported into other systems as required. Demonstration

The following interactive guide shows you how to enter statutory assessment data in Sonar Tracker. Select the relevant data that you want to enter when prompted to see a step-by-step demonstration:

Enter statutory assessment data

All statutory assessment types follow the same entry process. Follow these steps, then refer to the relevant section below for specific values and notes:

  1. Select Assessments.
  2. Select the assessment type from the Statutory Assessments pane:

  3. Select the Year Group and / or Class, then select Open Assessment:

  4. Select Edit Assessment.
  5. Optionally change the Assessment Date, then select Start Editing:

  6. As needed / required use the filters to select the subject that you want to enter / edit.
  7. Select a cell and then select / enter the teacher assessment / test score for the pupil. This will be automatically saved after you enter it.
  8. Repeat the previous two steps for each subject area, pupil and assessment.

If you enter an invalid value a red message is displayed explaining that your entry is incorrect, for example:

Notes on specific kinds of statutory assessment data

  • Select Early Years Foundation Stage Profile (EYFSP) in Step 2. Select the Reception Year or a reception class. Use the filters to select the areas of learning you want to display before entering data.

    Enter each pupil's assessment using the following values:

    • - Pupil is at the "emerging" level at the end of the EYFS.
    • 2 - Pupil is at the "expected" level at the end of the EYFS.
    • A - Unable to assess, or exemption applies. The pupil could not be assessed / had an exemption. If used, this has to be applied to all aspects.

  • Select Phonics Screening Check in Step 2. Select either Year 1 or Year 2 or a Year 1 or 2 class.  If pupils are in Year 1, only the Y1 columns appear. For pupils in Year 2, both Y1 and Y2 columns appear.

    For Year 1 pupils, enter each pupil's screening check test score in the Y1 Phonics Mark. After you have entered the test score, the Y1 Phonics Outcome code will be generated accordingly. If you need to enter other codes, select the cell and select the appropriate code.

    For those pupils who have taken the check in Year 2, complete Y2 Phonics Mark. After you have entered the test score, the Y2 Phonics Outcome code will be generated accordingly. If you need to enter other codes, select the cell and select the appropriate code.

    For each pupil, enter a mark between 0 and 40 in the mark field. Where the pupil does not have a mark, select the Y1 Phonics Outcome (or Y2 Phonics Outcome as appropriate) cell and enter the appropriate code from those available:

    • A - Absent.
    • D - Disapplied.
    • L - Left.
    • Wa - Met expected phonic decoding standard.
    • Wt - Did not meet expected phonic decoding standard.

  • End of KS1 assessments became non-statutory from the 2023 to 2024 academic year. If your school uses the optional tests produced by the Standards and Testing Agency (STA), you can record them in Sonar Tracker for internal tracking. You can import this data from your MIS using a CTF or enter it manually using the standard steps detailed below. 

    Select End of Key Stage One (optional) in Step 2. Use the filters to select the subject you want to enter data for, then:

    • For Test scores, select a cell and enter the score for each paper. Where you have entered raw scores, the total score and scaled score calculate immediately. These values are read-only.
    • For Teacher assessments, select a cell in a TA column and enter the assessment.
    • Repeat for each subject, pupil, and score or assessment.

      The Summary screen allows you to have an at-a-glance view of attainment across all subjects.

      Conversion tables will be added to Sonar Tracker shortly after the DfE publishes them. These populate the test section of the End of Key Stage 1 Outcomes report.

      Full Sonar Tracker subscribers can immediately analyse results in the End of Key Stage 1 Outcomes Report. For further information, see the Optional KS1 Assessment Guidance.

  • Where possible, import MTC data rather than entering it manually. 

    On the rare occasion where you need to enter MTC data manually, select Multiplication Tables Check in Step 2. In Step 3, select Year 4 or a year 4 class. In Step 7 enter each pupil's MTC Score between 0 and 25, or the appropriate code.

    If an invalid value is entered, the multiplication check score/code cell turns red and the value will not be saved.

  • Where possible, import KS2 test results rather than entering them manually, using the DfE National Curriculum Assessment Portal (previously PAG). 

    On the rare occasion that you need to enter KS2 data manually, select End of Key Stage Two in Step 2. In Step 3, select Year 6 or year 6 classes. Use the filters to select the subject (English, Mathematics, or Science), or select Summary for an overview, then:

    • For Teacher assessments, enter each pupil's assessments in the appropriate cells (Writing and Science, and for Reading and Mathematics if pupils are below the test standard). For DfE guidance, see Key Stage 2 teacher assessment guidance 2026.
    • For Test scores, select a cell and enter the result. Where you enter raw scores, the total score and scale score calculate immediately and are read-only. 
    • Where you have entered raw scores, the total score and scaled score calculate immediately. These values are read-only.
    • If you enter a score for Reading and Mathematics, the Teacher Assessment columns for Reading and Mathematics will be locked and vice-versa.

    Repeat for each subject, pupil, and score or assessment.
