Sonar Tracker: How do I export statutory end of key stage data from Sonar Tracker?

Overview

This guide explains how to create an export file to transfer data from Sonar Tracker into your MIS.

This has the following benefits:

  1. First and foremost, this data will be in your MIS for sending pupil information to their next schools.
  2. You can create your Data Returns, EYFS, and Phonics for your LA / KS2 Teacher Assessments for The Primary Assessment Gateway from your MIS.
  3. You can create reports to share this data with parents from your MIS.

Pre-requisites

Instructions

  1. Select School.
  2. Locate the Exports widget. Select Statutory Data Export to MIS (Only Admins and Tracker Owners see this):
  3. Select (Queue Export) for the data type you wish to export:

Outcome

Sonar will automatically use data from the relevant Year Groups. You will receive a notification, within a minute or two in your Message Inbox. This will either:

  • Confirm the file has been generated and is ready to be downloaded and imported into your MIS. Refer to guidance from your MIS provider regarding importing assessments from a CTF.
  • Let you know of any errors that need resolving.

Where errors require resolution, a message similar to the one below is sent:

Select Click here to download the error report to view a report detailing why the export could not be created, allowing you to make some changes before creating a new CTF:

  • Critical errors - due to the nature of these it will not be possible to create a CTF until these are resolved.
  • Warning errors - are shared for information. You decide whether it is appropriate to add information to Sonar and recreate the file or create the file with those children missing.

If a pupil has joined the school recently and their previous school is returning their assessments, they will NOT appear in your CTF as long as:

  1. The pupil has a UPN (enter this in your MIS and then ask us to run a manual sync to update Sonar)
  2. The pupil has no data for that assessment entered. They will appear as a warning and you can choose to make the file without them.

If a pupil has left your school but you need to return statutory data for them,  their data cannot be included in the CTF so our advice is to:

  1. Create the CTF as above, which will contain data for all children who are on roll and have an assessment entered,
  2. Import that into your MIS
  3. Manually add the data for the children who have left
  4. Create the CTF form your MIS to send to your LA /The Primary Assessment Gateway.

Due to an unexpected delay in a planned development CTFs contain preferred names so when importing the file into your MIS pupils may not match. Follow this guidance to edit the CTF Sonar Tracker: How do I edit a Sonar CTF to include legal names instead of preferred names?

Be aware:

  1. The Phonics data return contains the data for all Year 1 children and those Year 2 children that did not achieved the standard last year.
  2. Some codes, for example, D for Phonics may not import into your MIS - check if this applies to any of your children and update manually in your MIS accordingly.
  3. As Sonar Tracker automatically selects the appropriate Year Group(s) for each export, this feature has been designed to be used within the academic year that the data you are exporting relates to. Once these children move into the next year group, the file created will include the children now in those year groups, who may not have data yet.
