MIS: How do I export a CTF?

Overview

This article explains how to export a CTF from Juniper MIS.

Exporting CTFs can be used for a variety of reasons, for example, to export your data for statutory reporting purposes.

Prerequisites

  • You must be an Account Admin or Account Owner by default, however, you can change this if required.

Demonstration

The following interactive demonstration steps you through how to export a CTF of your statutory data from Juniper MIS to the DfE:

Instructions

Follow these steps to export a CTF:

  1. Select Statutory.
  2. Select Exports.
  3. Select Statutory Exports to open All CTF Exports. This will show all previously generated CTFs.
  4. Select Export CTF to open the Export CTF wizard to generate a new CTF:
  5. In Step 1 - Data:
    1. Select the type of export you want to make from:

      • CTF: Full CTF.
      • OTH: Data items selected by user (partial).
      • FSP: Early Years Foundation Stage data (partial)*.
      • PHO: Phonics data check (partial)*.
      • KS2: Key Stage 2 data (partial)*.
      • RBA: Reception Baseline data (partial).
      • FSM: Free School Meal eligibility data (partial).
      • ULN: Unique Learner Number data (partial).
      • CMJ: School joiners data (partial).
      • CML: School leavers data (partial).

      * Used when creating statutory data returns.

      When you select a value that will create a file to be sent to your Local Authority or the DfE, the remaining fields on the page are pre-populated for you to save time. 

    2. If the fields are not automatically populated, enter either the Destination Institution or select Unknown Destination (as appropriate) and complete any other fields that are displayed.

      If you have selected FSP, PHO or KS2 and you want to create an export for your own use (rather than to send elsewhere), select Import into your own systems in Destination Institution.

    3. Select Next.
  6. In Step 2 - Selection:
    1. Check the pupil(s) whose data you want to export, using the filters as required to speed up the process. You can, for example, filter pupils by their Status (Current, Leaver and Admission). If you want to select all pupils, check next to the FULL NAME column title.

      If no pupils appear, log out, clear your browser's cookies and cache, then log back in and select Allow all cookies. Continuing with an empty pupil list will export all pupil records making the export file incorrect.

    2. Select Next.
  7. During Step 3 - Exporting, the report is exported:
  8. In Step 4 - Result:
    1. Select Download export to save a copy of your CTF file to the downloads folder on your device.
    2. Select View all CTF exports to return to the All CTF Exports page.

Tips and best practices

  1. When exporting Phonics data, to obtain a list of all pupils who have data recorded for the current academic year (Year 1 pupils and those pupils in Year 2 who did not meet the expected standard in Year 1), in Step 2 - Selection:

    1. Select the Year Group filter and select your Year 1 Year Group.
    2. Select all pupils.
    3. Select the Year Group filter and select your Year 2 Year Group.
    4. Select all pupils.

    When you select pupils, select all Year 1 and all Year 2 pupils - the export will include all Year 1 pupils with scores and those Year 2 pupils with a Year 2 test score.

The CTF is downloaded to the download folder on your device:

If you would like to download the CTF again in the future, you can do so by selecting Download next to the appropriate CTF on the All CTF Exports page:
