MIS: How do I send statutory reports to parents?

Overview

This article explains how to:

  1. Open a statutory report from Juniper MIS, containing results from Sonar Tracker.
  2. Preview and download a PDF version of all reports (or an individual report).
  3. Send the reports by email or to the Juniper Education App to parents via Comms Hub.

Prerequisites

  • Your data must be available in the Juniper MIS. 
  • You must have created a statutory report (see MIS: How do I create my statutory reports? for further information).
  • You must be an Account Admin or Account Owner to send messages by default, however, you can change this is required.

Instructions

Select a step below to find out more:

  • To open the statutory reports that you want to send, in Juniper MIS: 

    1. Select Reports.
    2. Select My Reports.
    3. Locate and select Statutory Reports in the list of reports.
    4. From Statutory Reports, select the version of the report that you want to view:

      If an instance of a report is not available for selection, select Create to create your version of a report (see MIS: How do I create my statutory reports? for further information).

    The report opens:

  • After opening a report in Juniper MIS:

    1. Select Export:

    A PDF version of the report is downloaded to your device's downloads folder / opens, comprising a pupil-per-page report view of the report:

  • After opening the report in the Juniper MIS, select the name of the pupil whose report you want to view.
    1. Preview the contents of the report on screen:

    2. To preview and download a PDF version of the pupil's report, scroll to the bottom of the page, and select the Preview PDF file:

      A PDF version of the individual pupil's report is displayed:

  • After opening the report in the Juniper MIS:

    1. Select Share.
    2. Select Share via Comms Hub:

    3. You are transferred to the Communications / Compose page of Comms Hub:

      1. Select the appropriate template to use to send out the report to parents when prompted.
      2. Select Use Template.

      Where a template has not yet been created for sending out statutory results, you must create a template. See Comms Hub: How do I create a template to send a message by app message / email / SMS? for further information (remembering that the template you create can only be for an app message and / or email, not SMS message, as files cannot be sent my text message). 

    4. From Compose New Message - Step 1 - Compose, review the details that have been populated and tweak as needed:

      1. Select Edit (x) Pupils and/or Contacts Selected as appropriate:

        1. Select / deselect who you want the message to be sent to, using the Quick Selection options as required.
        2. After checking / changing the recipients, select Save.
      2. Select whether you want messages to be Sent Via  Email and / or App Message.
      3. Select Next.
    5. From Compose New Message - Step 2 - Preview:

      1. Preview the messages and associated reports as required:
        1. For each contact, you can preview the email and / app message that is to be sent to them
        2. Preview the contents of the report that is being sent as a PDF attachment.  
      2. Then, send the message or schedule it for a later time / date:
        1. To send immediately:
          1. Select Send Now.
          2. When prompted, select Send to confirm. 

            A confirmation message is displayed from which you can choose to Return to MIS or Stay in Comms Hub.

        2. To schedule for a later date:
          1. Select Schedule for Later
          2. When prompted:

            1. Select a Date.
            2. Select a Time.
            3. Select Schedule for Later.

              A confirmation message is displayed from which you can either Return to MIS or View Scheduled messages. 

    The reports will be sent to the selected parents either immediately or at a future date and time based on your choice.
