MIS: How do I import a CTF?

Overview

This article explains how you can import data held within a CTF file.

Importing CTF files can be used for a variety of reasons, for example, to import statutory data that you have downloaded from the National Curriculum Assessments Portal (NCA Portal). If you are using integrated Sonar Tracker, following the import, they will be available to you in Sonar Tracker.

Prerequisites

  • You must be an Account Admin or Account Owner by default to use this feature.
  • The CTF filename should follow the format LLLSSSS_CTF_LLLSSSS, where LLL is your LA number and SSSS is your school number. For example, a school with DfE no 0010115 should name the file 0010115_CTF_0010115. If downloaded from Get Information about Pupils (GIAP), rename the file before importing.

Instructions

Follow these steps to import your CTF:

  1. Select Statutory.
  2. Select CTF/ATF Import:
  3. Select Import CTF/ATF:
  4. From Step 1 - Import File of the Import CTF/ATF wizard:
    1. Either select Choose File and select the file you want to upload, or drag and drop a file from your device onto Choose File.
    2. Review the import file details when displayed.
    3. Select Next.
  5. From Step 2 - Pupils Selection of the Import CTF/ATF wizard:
    1. Review the import details, specifically the status. The contents of the screen may look different to the example above, depending on the type of information being imported. In the case of importing pupils:
      • Matched with existing pupil means a record for the pupil already exists and any data you choose in the next step will overwrite existing data in the MIS.
      • No matching pupil found means a new record will be created in the MIS for the pupil. Select a matching pupil if appropriate.
    2. To import all records, check the box next to PupilId.
    3. To import specific records, check the appropriate pupil record(s). This is useful when you don't want to import all pupils, for example, at the start of the year, if you receive information about pupil transfers from other schools and you want to remove a pupil who is no longer being transferred to your school but you have been sent their data.
    4. Select Next.
  6. From Step 3 - Containers Selection of the Import CTF/ATF wizard:

    1. Review the table of containers. Each row shows whether data for that container is included in your file using one of two badges:
      • Included (green) - this container has data in the file and is selected for import.
      • Not included (red) - this container has no data in the file.
    2. Select containers that you want to import (if they differ from those selected by default):

      1. To import all containers, check the box next to Containers at the top of the table.
      2. To import specific containers, check the box next to each container you want to import. Some containers have sub-containers, for example, Statutory Assessments expands to show FSP, PHO, KS1, MTC, and KS2. You can select the main container or individual sub-containers. 

      This is useful, for example, in the case of a pupil, if they already exist, you may not want to overwrite existing contact details. Another example could be if you want to only import Contacts, you would check Contacts

    3. Select Next. Confirm Container Selection opens listing the containers you are about to import:

    4. Select Confirm to proceed with the import, or Cancel to go back and make changes.

Where a record is not successfully imported, select the arrow at the start of the row to view any errors:

Select View All CTF/ATF imports to see a list of all imports that have been in a list format.
