Sonar Tracker (including Sonar Lite)
IMPORTANT
When you log into Sonar Tracker today, you will not see the content in this article. It relates to the enhanced version launching soon. Please continue entering data as usual.
For further information see: Sonar Tracker: Statutory Data entry.
Overview
This article explains how to manually enter statutory assessment data into Sonar Tracker. It covers the following statutory assessment types:
- Early Years Foundation Stage Profile (EYFSP / EYFS / ELG).
- Phonics Screening Check.
- End of Key Stage One (optional) - teacher assessments and test scores.
- Multiplication Tables Check (MTC).
- End of Key Stage 2 - teacher assessments and test scores.
Statutory assessment data should only be manually entered into one system. From that system, it should be electronically exported and imported into other systems as required. If your school enters statutory data into a third-party MIS and you use stand-alone Sonar Tracker, go to Sonar Tracker: How do I import Statutory Data into Sonar Tracker from a CTF? for further information. To determine which version of Sonar Tracker you are using, see Sonar Tracker: Which version of Sonar Tracker am I using?
Demonstration
The following interactive guide shows you how to enter statutory assessment data in Sonar Tracker. Select the relevant data that you want to enter when prompted to see a step-by-step demonstration:
Enter statutory assessment data
All statutory assessment types follow the same entry process. Follow these steps, then refer to the relevant section below for specific values and notes:
- Select Assessments.
-
Select the assessment type from the Statutory Assessments pane:
-
Select the Year Group and/or Class, then select Open Assessment:
- Select Edit Assessment.
-
Optionally change the Assessment Date, then select Start Editing:
- As needed / required use the filters to select the subject that you want to enter / edit.
- Select a cell and then select / enter the result for the pupil.
- Repeat the previous two steps for each subject area, pupil and assessment.
If you enter an invalid assessment value a red message is displayed explaining that the value is incorrect, for example:
Select the Information key to view the meanings of the different values you can enter (where codes, rather than scores are used):
For further information relating to the codes used for recording your statutory data, see Sonar Tracker: What do the codes for recording Key Stage Data mean?
Notes on specific kinds of statutory assessment data
-
Select Early Years Foundation Stage Profile (EYFSP) in Step 2. Use the filters to select the areas of learning you want to display before entering data.
Enter each pupil's assessment using the following values:
- Emerging (1) — the pupil was at the emerging level at the end of the EYFS.
- Expected (2) — the pupil was at the expected level at the end of the EYFS.
- Unable to assess, or exemption applies (A) — the pupil could not be assessed or had an exemption. If used, this value must be applied to all aspects.
Full Sonar Tracker subscribers can use the End of Reception Outcomes Report to analyse this data.
For further information, see the DfE Early Years Foundation Stage Profile Handbook.
-
Select Phonics Screening Check in Step 2. If pupils are in Year 1, only the Y1 columns appear. For pupils in Year 2, both Y1 and Y2 columns appear.
For each pupil, enter a mark between 0 and 40 in the mark field, then select the appropriate outcome value in the outcome field. For pupils who took the check in Year 2, complete both the Y2 mark and outcome fields.
For further information, see the Assessment and Reporting Arrangements (Phonics Screening Check).
-
End of KS1 assessments became non-statutory from the 2023 to 2024 academic year. If your school uses the optional tests produced by the Standards and Testing Agency (STA), you can record them in Sonar Tracker for internal tracking. You can import this data from your MIS using a CTF or enter it manually using the standard steps detailed below.
Select End of Key Stage One (optional) in Step 2. Use the filters to select the subject you want to enter data for, then:
- For Test scores, select a cell and enter the score for each paper.
- For Teacher assessments, select a cell in a TA column and enter the assessment.
-
Repeat for each subject, pupil, and score or assessment.
Conversion tables will be added to Sonar Tracker shortly after the DfE publishes them. These populate the test section of the End of Key Stage 1 Outcomes report.
Full Sonar Tracker subscribers can immediately analyse results in the End of Key Stage 1 Outcomes Report. For further information, see the Optional KS1 Assessment Guidance.
-
Where possible, import MTC data rather than entering it manually.
To enter MTC data manually, select Multiplication Tables Check in Step 2 and enter each pupil's MTC Score between 0 and 25.
If an invalid value is entered, the score cell turns red and the value will not be saved.
For further information, see the DfE Multiplication Tables Check guidance.
-
Where possible, import KS2 test results rather than entering them manually, using the DfE National Curriculum Assessment Portal (previously PAG).
To enter KS2 data manually, select End of Key Stage Two in Step 2. Use the filters to select the subject (English, Mathematics, or Science), or select Summary for an overview, then:
- For Teacher assessments, enter each pupil's assessments in the appropriate cells. For DfE guidance, see Key Stage 2 teacher assessment guidance 2026.
- For Test scores, select a cell and enter the result. Where you enter raw scores, the total score and scale score calculate immediately and are read-only.
Repeat for each subject, pupil, and score or assessment.
Full Sonar Tracker subscribers can also use the End of Key Stage 2 Outcomes report and the Primary Assessment Conversion Matrix Report (select KS2 TA as the From option) to analyse results. To export this data as a CTF, see Sonar Tracker: How do I export statutory end of key stage data from Sonar Tracker? For further information, see the 2026 key stage 2: assessment and reporting arrangements (ARA).
Outcome
After you enter statutory assessment data, it is immediately available for three purposes:
- Data appears in the Statutory Dashboard in the Analysis tab. You can also use the statutory reports provided in Sonar Tracker to view your data. Depending on how your system has been configured, data is refreshed overnight, so data entered today will appear in the dashboard and reports tomorrow at the latest.
- Data is ready to export as a CTF for submission to your local authority or the DfE:
- If you are using integrated Sonar Tracker, see MIS: How do I export a CTF?
- If you are using stand-alone Sonar Tracker, see Sonar Tracker: How do I export statutory end of key stage data from Sonar Tracker?
- Data is available to include in reports shared with parents:
- If you are using integrated Sonar Tracker, see MIS: How do I create my statutory reports? and MIS: How do I send statutory reports to parents?
- If you are using stand-alone Sonar Tracker, see Sonar Tracker: How can I report on statutory / end of key stage assessments in Sonar Tracker?
