MIS: How do I find and update unresolved N codes before the School Census?

MIS

Overview

This article explains how to find pupils with an N code and update their attendance before you submit your School Census.

An N code means the reason for a pupil's absence is not yet established. In the MIS, it appears as Absent - circumstances not yet established. After you know the reason, you must update the code to the correct one.

Prerequisites

  • You must have the appropriate permissions assigned to your Juniper account to edit attendance codes.

Find pupils with an N code

Follow these steps to list all pupils with an unresolved N code:

  1. Go to Reports / Attendance / Absent & Late.
  2. Select Time Period, for example This Term. Alternatively, select Fixed Range, then enter a Start Date and End Date. The range stops at today.
  3. Select Filter.
  4. Under Absence type, check Absent - circumstances not yet established.

The report lists each pupil with an N code. It shows one row for each pupil and date, so a pupil can appear more than once.

Update an N code

Follow these steps to replace an N code with the correct code:

  1. In the AM or PM column, select the N code you want to change.
  2. Select the code that matches the reason for the absence.
  3. Optionally, add a Note.
  4. Select the tick box to save the change.
  5. Repeat for each pupil on the list.

After you update a code, the pupil no longer matches your filter. They are removed from the report automatically. The report is clear when no pupils remain.

Tips and best practices

  • Check for N codes regularly.
  • Only change a code when you know the reason for the absence. For more information, see MIS: What are the different attendance / absence codes?.
  • Select a pupil's name to open their record on the Attendance tab and see their full attendance history.

Next steps

After you resolve your N codes, check for missing marks (see MIS: How do I find pupils with no register mark recorded?). Then complete your census (see MIS: How do I complete my School Census?).
