MIS: How do I see a list of those pupils with absence or late marks?

Overview

This article explains how to access the Absent & Late Attendance Report within the MIS. It shows a list of those pupils with absence or late marks for a selected date range. 

This report is particularly useful when trying to answer questions such as:

  1. "Who is off school today?"
  2. "Who is ill today?"
  3. "Who's not in school, but are not ill either?"
  4. "Who's late?"
  5. "Who was ill last week?"

In addition to viewing absences and lates, you can edit the codes as required for each of the AM or PM sessions. 

Instructions

To view the Absent & Late report in the MIS: 

  1. Select Reports.
  2. Select Attendance.
  3. Select Absent & Late

Tips and Best Practices

  1. The report shows one row per pupil per date, so the same pupil can appear more than once if they have absence or late marks across multiple dates in your selected range.
  2. Use the Search bar to filter by pupil name if you are looking for a specific pupil across a longer date range.
  3. Use the Filters to narrow your search.
  4. Use Time Period to answer common questions quickly, for example, set it to Today to see who is currently off school, or Last Week to review recent absences. When you adjust the dates manually, the period automatically switches to Fixed Range.
  5. Use the Absence type check boxes in the Filter to focus your view:
    1. Select Illness to see pupils with at least one illness-related absence or late mark in the date range.
    2. Select Absent: no illness reported to find pupils who are away for any reason other than illness. This is useful for chasing up unexplained absences.
    3. Select Late to see pupils with an L code (in school but late for registration) or a U code (arrived after registration closed).
  6. Update attendance codes without leaving the report by selecting any code in the AM or PM column to change it directly. When a code is updated and the pupil no longer matches your current filter, they are removed from the report automatically.
  7. Select a pupil's name to open their pupil record on the Attendance tab for a full view of their attendance history.
