MIS: What are the different attendance / absence codes?

Overview

This article explains the meaning of the different attendance / absence codes used when registering pupils. The codes let you record specific details about if the pupil is:

  • Present.
  • Absent.
  • Attending an approved educational activity.
  • Unable to attend due to exceptional circumstances.

Using these codes, attendance and absence can be recorded, reported on and monitored consistently at a school, and local authority level. Additionally, the codes are used when the government collects statistics through the School Census system.

A pupil's presence (or absence) and associated details must be recorded in a school's Attendance Register in accordance with Regulation 6 of the Education (Pupil Registration) (England) Regulations 2006. This must be undertaken in all schools (except where all pupils are boarders) at the start of each morning session, and once during the afternoon session.

The Attendance Codes listed and described in this section are used for recording those details for every pupil whose name is entered in (and not deleted from) the Admissions Register ("the school role").

An authorised leave of absence is only granted in exceptional circumstances, the duration of which is determined by the school, and granted entirely at the headteacher's discretion. An application for a leave of absence must be made in advance by a parent that the pupil normally lives with, and detailed reasons / justification for the leave.

Attendance Codes

Codes Description Type Notes / Additional Details
- No value entered   Default value when taking a register.
/ (AM) Present at the school when attendance register begins to be taken. Present (In for the whole session). Never record a pupil as present if they are not in school during registration. If a pupil leaves the school premises after registration, they are still counted as present for statistical purposes.
\ (PM) Present at the school when attendance register begins to be taken.
B Attending a place for any other approved educational activity. Approved Education Activity (Out for whole session).

Use this code when a pupil is attending an off-site educational activity that has been approved by the school, and is supervised by someone who is authorised by the school. Examples of such activities may be taster days at other schools, attending a college course, attending unregistered alternative provision arranged or agreed by the school.

This code mustn't be used if the pupil is unsupervised, for example, when at home doing school-work.

C Absent with leave for other circumstances. Authorised Absence (Out for the whole session).

Use these codes only if other reason codes are not appropriate for the recording of an authorised absence. Examples could include, but are not limited to:

  • A pupil participating in a performance.
  • A pupil being subject to a temporary, part-time timetable.
  • A pupil being pregnant.
C1 Absent with leave for the purpose of participating in a regulated performance.
C2 Absent with leave, of compulsory school age and temporary reduced timetable does not require them to attend.
D Attending another school at which they are a registered pupil. Approved Education Activity (Out for the whole session). Dual registered (at another establishment) - not counted in possible attendances. Use this code if a pupil is attending another education setting. The code isn't counted in possible attendances.
E Authorised absence as pupil is excluded with no alternative provision made. Authorised Absence (Out for the whole session).

Use this code when a pupil has no alternative provision to continue their education when they are suspended / excluded from school, but their name is still entered in the Admission Register.

Alternative provision must be arranged from the sixth consecutive day of any suspension / exclusion. This provision should then be recorded using the appropriate code for attending an approved educational activity.

G Absent without leave for the purpose of a holiday. Unauthorised Absence (Out the for whole session).

Use this code only if recording any holiday that has not been agreed by the school, but has still been taken by the pupil, including those in excess of any agreed holiday.

A leave of absence for holiday cannot be granted retrospectively. If an application for leave wasn't made in advance, it should not be granted.

I Unable to attend because of sickness. Authorised Absence (Out for whole session). Use this code to record when a child is ill (either physically or mentally). The parent should contact the school on the first day that the pupil is unable to attend school because of the illness. Don't use this code to record medical or dental appointments.
J1 Absent with leave for the purpose of attending an interview for employment or for admission to another educational institution. Authorised Absence (Out for whole session). Use this code to record when a child takes a leave of absence to attend an interview for either employment or admission to another educational institution.
K Attending a place, other than the school or another school at which they are a registered pupil, for educational provision arranged by LA. Authorised Absence (Out for whole session). Use this code to record when a child is being educated elsewhere based on a Local Authority decision, rather than the school. 
L Absent from the school when attendance register begins to be taken but attends before the taking of the register has ended. Present (Late for the session).

Use this code when the pupil arrives late to a session, but before the registers close.

If the pupil attends the session, but does so after the registers close, record this must be recorded as an absence using code U, or another absence code that it is more appropriate.

M Absent with leave for the purpose of attending a medical or dental appointment. Authorised Absence (Out for the whole session). Use this code to record those absences that result from unavoidable medical / dental appointments within school hours. Pupils should only be absent from school for this reason if totally unavoidable. Where possible appointments should be made outside of school hours to minimise the time a pupil is away from school.
N Absent - circumstances not yet established Unauthorised Absence (Out for the whole session).

Use this code when the reason for a pupil's absence isn't known when you take the register. As soon as the reason for absence is determined by the person responsible for taking the register, the register should be updated using the appropriate attendance code.

If a pupil is present at registration but has a medical appointment during the session, no absence should be recorded for the session.

O Absent - other circumstances Unauthorised Absence (Out the for whole session).

Use this code only if other reason codes are not appropriate for the recording of an unauthorised absence.

This code should also be used if the school suspects that the reason for absence is authorised.

P Approved education activity as pupil is attending an approved sporting activity. Approved Education Activity (In for the whole session). Use this code if the pupil is attending a supervised educational activity. The supervisor must be authorised by the school.
Q Unable to attend because of lack of access arrangements by LA to facilitate their attendance.    
R Day exclusively set apart for religious observance by the religious body to which the parent belongs. Authorised Absence (Out for the whole session).

This code us used to record authorised absence when it falls on a day that is exclusively set apart for religious observance by the parents’ religious body. As a rule of thumb, if the parent isn't required to work on such a day, enabling them to mark the religious occasion, the pupil's absence should be approved.

If the period of absence requested by the parent is greater than one day, the school would record the religious observance day as code R. Any further days must be requested by the parent, and if approved by the headteacher, those days would be recorded as code C (see above for further information).

S Absent with leave for the purpose of studying for a public examination. Authorised Absence (Out for the whole session). Use this code to record when Year 11 students during public examinations. As study leave is unsupervised, it must be recorded as absence. It should be used and granted sparingly.
T Mobile child whose parent is travelling in the course of their trade or business and is travelling with that parent. Authorised Absence (Out for the whole session).

Use this code to record when a pupil is absent from school because their parent(s) is travelling for occupational purposes . This must be requested by the parent(s) in advance. The code can only be used for this purpose and when the absence is approved by the headteacher. Any other absence for pupils from this group of people should not be recorded against this code.

In this context, the generic term traveller refers to a number of different groups. These include Roma, English and Welsh Gypsies, Irish and Scottish Travellers, Showmen (fairground people) and Circus people, Bargees (occupational boat dwellers) and New Travellers.

Where a pupil has no fixed abode because their parent(s) is engaged in a business or trade that requires them to travel, there is an expectation that the pupil attends at least 200 sessions per year.

U Absent for registration - arrived in school after registration closed. Unauthorised Absence (Out for the whole session). Use this code if when a pupil arrives late at school for a session, after the registers close. Only use if another absence code isn't more appropriate.
V Attending a place for an approved educational activity that is a visit or trip. Approved Education Activity (Out for the whole session). Use this code to record when a pupil is attending a visit or trip, including residential trips organised by the school, or attendance at a supervised trip of a strictly educational nature arranged by an organisation approved by the school. The visit / trip must be supervised appropriately by a person authorised by the school.
W Attending a place for an approved education activity that is work experience. Approved Education Activity (Out for the whole session). Use this code if the pupil is absent from school to undertake work experience. This is undertaken by pupils in Year 10 upwards. The work experience must be supervised appropriately by a person authorised by the school. Any absence in the workplace must be reported to the school by the supervisor.
X Absent with leave, not of compulsory school age and timetable does not require them to attend. Attendance not required (Out for the whole session). This code should be used to record untimetabled sessions for non-compulsory school aged pupils. It isn't counted in possible attendances. An example of this could be where parents have chosen for their four year-old child to attend part-time until later in the school year, but not beyond the point when that child reaches compulsory school age.
Y1 Unable to attend because school is not within walking distance of pupil’s home and transport to and from school normally provided is not available. Attendance not required (Out for whole session). This code isn't counted in possible attendances. It should be used where a pupil cannot attend school because of the transport normally provided not being available.
Y2 Unable to attend due to widespread disruption to travel caused by a local, national, or international emergency. This code isn't counted in possible attendances. It should be used where a pupil cannot attend school because of widespread disruption to travel. 
Y3 Part of the school premises is unavoidably out of use and pupil cannot be accommodated in parts of the premises that remain in use. This code isn't counted in possible attendances. It should be used where a pupil cannot attend school because part of the school is closed.
Y4 Whole school closed when school was due to meet for a session, but session has been cancelled. This code isn't counted in possible attendances. It should be used where a pupil cannot attend school because of an unexpected whole school closure. This is different from # for planned closures.
Y5 Unable to attend because pupil is subject to a sentence of detention. This code isn't counted in possible attendances. It should be used where a pupil cannot attend school because the pupil is in the criminal justice system.
Y6 Travel to or attendance at school would be contrary/prohibited by guidance/law relating to incidence or transmission of infection or disease. This code isn't counted in possible attendances. It should be used where a pupil cannot attend school because of public health guidance or law.
Y7 Unable to attend because of any other unavoidable cause. This code isn't counted in possible attendances. It should be used when a pupil cannot attend school because of any other unavoidable circumstance.
Z Pupil's name entered in advance of start date. Attendance not required (Out for the whole session). This code isn't counted in possible attendances. The code can be used when setting up registers in advance of pupils joining the school.
# Planned whole school closure - no session to take place. Attendance not required (Out for the whole session).

This code isn't counted in possible attendances. It should be used when it has been planned to close(or partially close) the school to staff and / or pupils.

  • Whole school closures which have been planned include (but are not limited to):
    • Days between terms.
    • Half-terms.
    • Occasional days, for example, bank holidays.
    • Weekends (if needed by the MIS).
    • Up to five non-educational days.
    • If the school is being used as a polling station.
  • Partial school closures which have been planned include (but are not limited to):
    • Staggered starts / induction days, where different year groups commence the term on different dates.
    • Partial school use as a polling station.
