Sonar Tracker: How do I copy EYFS data over to Year 1?

Overview

This article explains how to copy Early Years Foundation Stage (EYFS) summative assessment data from Reception over to Year 1 in Sonar Tracker.

To do this, you copy the previous year's Spring 2 data for your current Year 1 class within your Primary Summative Assessment (New) page. This can be done for one pupil across all subjects, or for one subject across all pupils.

You can only copy data from Reception to Year 1 when the EYFS and Primary code models you use are the same. If they are not, you will need to manually enter your Year 1 Baseline / Autumn 1, which can then be copied in subsequent terms.

Reception to Year 1 mappings

Sonar Tracker maps each EYFS subject from Reception to the Year 1 subjects for you as follows:

Prerequisites

  • The pupils must be in Year 1 in Sonar Tracker.
  • Summative assessment data must exist for the pupils in Summer 2 in Reception, or in the Start of Year Baseline if your school uses one.

Which data you can copy

At the start of the new academic year, you copy the values that you are going to use as Year 1 Autumn 1 from one of the following sources:

  • Summer 2 from Reception.
  • Alternatively, if it has been entered, you may choose to copy the Start of Year Baseline from Year 1.

Sonar Tracker moves the data up one year group when it copies, so Reception data arrives in Year 1.

Instructions

Follow these steps to copy your summative assessment data from EYFS (Summer 2 Reception or Year 1 Start of Year Baseline) to Autumn 1 for Year 1:

  1. Select Assessments.
  2. Select Primary Summative Assessment (New) from the Teacher Assessments list:

  3. From Select Pupils:

    1. Select Year 1 or the Year 1 classes
    2. Select Open Assessment.
  4. Check that the Assessment Point is Autumn 1, for example:

  5. Select the ellipsis next to the pupil or the subject, depending on what you want to copy:
    • Select the ellipsis next to a pupil to copy all subjects for that pupil.
    • Select the ellipsis next to a subject to copy that subject for all pupils.
  6. From the menu, select Copy Data From Previous Term:

  7. When prompted to select the term that you want to copy from:

    1. Select Summer 2 from the previous academic year, or select Start of Year Baseline.
    2. Select Copy.
  8. When prompted to confirm that you want to copy the data:

    1. Review the details of the data that you are about to overwrite.
    2. Select Confirm Copy.

There is no undo option when you copy data. Copying overwrites any data that you have already entered. If you overwrite data by mistake, you must enter it again manually.

Outcome

After the copy finishes, your Year 1 Autumn 1 assessments are updated with the Reception results in the mapped subjects.

Tips and best practices

  1. After you copy, check the results and update any pupils whose Year 1 assessment is different.
