Juniper Websites: How do I create and invite a staff member if I do not use Wonde?

Overview

This article explains how to add a new staff member and invite them to use Juniper Websites, if your school has not given permission for Juniper Education to connect to your third-party MIS using Wonde.

Only follow this article if you use MIS and you have not connected Wonde to sync staff records automatically. If Wonde is connected or you have not yet been migrated to Portal, see Juniper Websites: How do I create a new user? instead.

There are five parts to this task, but it only takes a few minutes to add and invite members of staff:

  1. Sign in.
  2. Switch to MIS.
  3. Add the staff member's record in MIS.
  4. Switch to Portal.
  5. Invite the staff member to use Juniper Websites through Portal.

You must complete all parts, in this order, because Portal uses the staff record from MIS to send the invitation for Juniper Websites.

Prerequisites

  • You must be an Account Owner or Account Admin in Juniper MIS to add staff members, and Portal to send invitations.

Sign in

Follow these steps to sign in to Portal using your Juniper Websites credentials:

  1. In your web browser, enter the URL for your website followed by /admin, for example, www.yourwebsiteurl.co.uk/admin.
  2. When prompted, select Login with JoinUp.
  3. From the Login page:
    1. Enter your registered Email address.
    2. Enter your Password.
    3. Select Login.
  4. If verification is required, you are sent an email with a Verification Code. Enter the code on the Two-Factor Authentication page, then select Login.

    If you cannot see the email, check your Spam or Junk folder. If it is not there, select Resend Code.

You are taken to the Portal home page.

Switch to MIS

From the Portal home page, switch to MIS so you can add the staff member's record:

  1. Select the App switcher (quadrant icon) next to your user profile icon in the top-right corner.
  2. From Your Juniper Apps, select MIS (MIS Lite+).

Alternative switch to MIS by selecting MIS from the Your Juniper Products section of the Portal home page.

Add the staff member in MIS

Follow these steps to create a record for the new staff member in Juniper MIS:

  1. Select Staff.
  2. Select All Staff.
  3. Select Create. Create Staff opens.
  4. Enter all mandatory details, marked with an asterisk, and any optional details you choose for the new staff member. As a minimum:
    1. Enter Forname.
    2. Enter Surname.
    3. Select Gender (for example, Not Specified).
    4. Select Date of Birth (this is used to personalise the user's experience, but you could put an arbitrary date in here).
    5. Select a System Status (for current staff members, select Current).
    6. Enter an Email address (use the staff member's school email address - this is used to send their invitation and is used when they log on).
    7. Select an Address Type.
    8. Enter an address in Address Line 1 (you could use your school address for this).
    9. Enter a postcode in Address Postcode (you could use your school postcode for this).
  5. Select Save.

The staff member is saved and assigned a unique Staff ID. A message confirms you have successfully created the staff member. Because your school does not use Wonde, this record is available in Portal straight away, so you do not need to wait before sending an invitation.

Switch to Portal

Before you can send an invitation, switch from Juniper MIS to Portal:

  1. Select the App switcher (quadrant icon) next to your user profile in the top-right corner.
  2. From Your Juniper Apps, select Portal.

Invite the staff member to use Juniper Websites

Follow these steps in Portal to invite one or more staff members to use Juniper Websites:

You can only invite multiple staff members in a single pass if they all take the same role.

  1. Select User Invitations.
  2. Select Staff.
  3. From User Invitations - Staff, select Send Invitations.
  4. From Invite Users, select Juniper Websites as the Product.
  5. Select the role to assign from Select User Role. This role applies to everyone you select in the next step, so it must be the same for all of them. Use this mapping as a guide to the default roles:

    Portal role Juniper Websites CMS equivalent role
    Account Owner / Account Admin Administrator
    Full Edit Publisher
    Partial Edit Writer

    If you select an Account Admin or Account Owner role, the person is automatically granted the same level of access in Portal. By default, other users are granted Minimal Edit access in Portal.

  6. From Select Users, the pane shows staff who are not yet users of Juniper Websites. Select one or more staff members to invite them.
  7. Select Send Invitations.

An email is sent to each staff member you selected. If they are new to Portal, the email contains a link so they can accept the invitation online. If they already use another Juniper Education product, the email explains they now have access to Juniper Websites, available next time they sign in to Portal.

New users have 14 days to register after receiving their invitation. If they do not register in this time, you must invite them again.

Tips and best practices

  • To invite several staff members at once, select them all from Select Users before selecting Send Invitations, provided they all have the same role for Juniper Websites.
  • To invite the same person to other products, repeat the invitation steps and change the product and role.
  • If staff members need different roles, repeat the Assign Role and Select Users steps once for each role.
