Sisra Analytics: How do I set up a new qualification? (Admin)

Overview

This article explains how to set up a new qualification for KS3/4 or KS5. Bear in mind that not all of these steps may be required each time, these are just some of the steps you may need to consider. Steps 2, 3, and 4 may not be required if there are already EAPs and grade methods appropriate for this new qualification. Under each section there is a description of whether this step needs to be completed depending on the level of set up you require for this qualification.

Prerequisites

You must be an administrator.

Instructions

To set up a new qualification:

  • There are two ways to create new qualifications:

    • Upload a set of grades for the new qualification.
    • Manually create the qualification.

    Upload a set of grades for the new qualification

    This way is easier if you already have grades to upload to the new qualification.

    1. Select DATA.
    2. Select Key Stage.
    3. Select Cohort.
    4. Select Grades.
    5. Select Uploads.
    6. Select the type of grades you want to upload from the menu.
    7. Select Upload Grade File.
    8. Upload the file containing the grades for the qualification. From the Confirm Upload Qualification Names page, select New for SISRA Qualification:

    Manually create the qualification

    1. Select DATA.
    2. Select Key Stage.
    3. Select Cohort.
    4. Select Grades.
    5. Select Matching.
    6. Select Qualifications.
    7. Select Create New Qualification:
    8. When prompted, enter a Qualification Name:

    9. Select Save.
  • Proceed to Step 3 if you're creating a qualification with an existing grade method; otherwise, create a new grade method by following the steps in the appropriate guide below:

  • Proceed to Step 4 if:

    • You don't need EAP-related figures, for example, Above, On and Below Track and flightpaths for your new qualification.
    • Your EAPs in this cohort use a baseline already set up, for example, Scaled Scores.
    • The EAP Baselines for this new qualification have already been uploaded and set up.

    Proceed to Step 5 if you have an EAP set up that this qualification can use.

    Upload your EAP Baselines for this new qualification by following the steps in the appropriate guide below. When you reach the Confirm Upload Qualification Names page, select New for SISRA Qualification:

    After the EAP Baseline has been uploaded, set it up, by following the steps in the appropriate guide below:

  • Proceed to Step 5 if:

    • Your cohort uses one EAP per grade method, and you have an EAP set up that this qualification can use.
    • You have an appropriate EAP that uses the correct grade method that can be selected for the new qualification. 
    • You haven't uploaded individual EAP Baselines for this new qualification, and there is already an EAP using the correct grade method that can be selected for the new qualification.

    Create a new EAP by following the steps in the appropriate guide below:

  • Using an appropriate grade method and EAP for your new qualification, set the qualification up in the Matching page by following the steps in the appropriate guide below:

  • Proceed to Step 7 if you don't want any class analysis for the qualification, and don't mind seeing Missing Class Data warnings in your datasets.

    Follow these steps to set up your classes:

    Check whether your classes exist

    1. Go to DATA > Select your Key Stage and Cohort > Students > Classes > Manage Classes to check whether your classes exist, for example, if they have already been imported.

    Link existing classes to your new qualification

    If the classes exist, link them to your new qualification:

    1. Open Students > Classes > Assign Quals:
    2. Select the icon in the Actions column next to the correct set of classes for this new qualification.
    3. From the Edit Class Assignments for... window:

      1. Check the box for your new qualification
      2. Select Save.

    If classes don't exist create them and add link them to the new qualification

    If the classes don't exist, add them manually:

    1. Open Students > Classes > Manage Classes.
    2. Select Create Set of Classes:
    3. From the Create Set of Classes window:

      1. Enter a Set of Classes Name.
      2. Select Create.
    4. Locate and select the new Set of Classes from the Set of Classes page.
    5. Select Create Class.
    6. Enter a Class Name when prompted.
    7. Select Create.
    8. Add the relevant students to the class
    9. Repeat steps 5 - 8 for each class.
    10. Open Students > Classes > Assign Quals:
    11. Select the icon in the Actions column next to the correct set of classes for this new qualification.
    12. From the Edit Class Assignments for... window:

      1. Check the box for your new qualification
      2. Select Save.

    Eliminating Missing Class Data Warnings Using Dummy Classes

    To eliminate Missing Class Data warnings in your data sets that occur when you don't use class analysis, set up dummy classes for the qualification:

    1. Open Students > Classes > Manage Classes and manually create a set of dummy classes for your qualification.
    2. Open Students > Classes > Assign Quals and assign your new qualification to the new set of dummy classes.
    3. Open Grades > Grades Management > Select your dataset with the new qualification's grades uploaded
    4. Select the spanner icon in Actions next to the new qualification.
    5. Place all of your students in the dummy class to clear the warnings. 
  • After completing the steps above:

    • For KS3/4 republish your Students, KS2 / EAP, and Grades sections
    • For KS5 republish your Students, KS4 / EAP, and Grades sections

Outcome

Your new qualification is set up.

The new qualification will only appear in Reports when grades have been entered into it.
