Sonar Tracker: Why can't I see my data after uploading a CTF in Sonar?

Overview

Uploading a CTF to Sonar Tracker (see Sonar Tracker: How do I import Statutory Data from a CTF?) may take up to 15 minutes to process.

Use this article if the data is still not visible in Assess > Statutory Assessments after 15 minutes to help you resolve the problem. 

Tips when looking for the data

  1. Check Early Learning Goals (2012) and Early Learning Goals (2020) when looking for EYFS data
  2. When looking for Key Stage 1 data, by default the Statutory Assessments > Key Stage 1 page displays Test Results (Test Raw Score). Where these have not been stored in your MIS (and subsequently not imported into Sonar Tracker), there will be no value to import. In this scenario, to view your Teacher Assessments, select Teacher Assessments instead of Test Raw Score:

  3. Remember, some Year Groups do not have statutory data because of the Covid-19 pandemic in 2020 and 2021.
  4. Key Stage 2 data - If these pupils are now in Year 7, you can only enter / import data if the pupils were imported into Sonar Tracker from your MIS via the Wonde sync. If these pupils were off roll at this time, they will not be in Sonar and you should analyse their data elsewhere. You can analyse data for your current Year 6 children next year, as they are already in the software.

Tips when checking the file

  1. Make sure the file ends .xml - not .xls or .csv. Sonar Tracker can only import xml files. Any other file types, for example, xlsx and csv files, cannot be processed. If your file is in this format, recreate your file as a CTF with the file extension .xml.

    Just choosing the file extension XML Spreadsheet 2003 when saving an Excel sheet does not make the file xml.

  2. Make sure the destination is your own school. Check the filename. It should be in the format of 8812222_CTF_881LLLL when it is sent to your Local Authority. Recreate the file using your school as the destination, for example, 8812222_CTF_8812222.

    If you decide to edit the file you have, just changing the filename will not work, you also need to change the destination inside the file:

  3. Did the file include Phonics data for current (2025/2026) Yr 6 children?  Due to the way results were recorded when Phonics screening was administered in the Autumn Term of 2021 this can cause the import to fail. To resolve either:
    1. Create the CTF without Tasks and Tests. This will stop Phonics data from being imported. Enter the Phonics data manually or using separate files for years where the Phonics data is not an issue.
    2. Uncheck Phonics when uploading your data. No data will be imported. Enter the Phonics data manually or using separate files for years where the Phonics data is not an issue.
  4. Is the file complete? Check that the file is complete by following these steps:
    1. Locate the file on your device
    2. Right-click the file
    3. Select Open with... and  Notepad to view the file.
    4. Make sure the last three lines of the file are as follows (if they're not, recreate the file): 
      </Pupil>
      </CTFpupilData>
      </CTfile>
