Sonar Tracker: EYFS (2020) Venn Report

Overview

This article provides an overview of the EYFS (2020) Venn report's purpose, guidance on how to access it, the various types of information it contains, and the different controls that help you customise what you see in the report.

Purpose

The EYFS (2020) Venn report lets you view either the Attainment or Targets of pupils who meet with your selection criteria, using a Venn diagram. The selection criteria comprises, Academic Year, Assessment Period, Subjects and level of Progress.

As a teacher, headteacher or other member of the SLT, the EYFS (2020) Venn report gives you the information to easily identify where pupils may benefit from additional support to meet the expected standard in a combination of two or three subjects. For example, if a pupil is on track or higher in Numbers and Word Reading, but is not on track in Writing, interventions / support can be put in place to help them get on track or higher in Writing.

The report comprises:

  • A Venn diagram comparing and correlating pupil Attainment / Targets across two or three selected subjects. By default it shows the Attainment of pupils in the current Assessment Period whose Progress has been measured as Just At (or above) in Word Reading, Writing and Number (you can change these settings as desired).
  • A tabular view of the pupils within the group showing their individual summative results / targets for each of the selected subject results / combination of subject results.

In this report, pupils with missing assessment data are included in the calculations. Any numerical counts or percentage calculations regarding pupil numbers include all pupils, regardless of whether they have assessment records.

Opening the page

After selecting the EYFS (2020) Venn report from the Reports page menu, you will be prompted to select which pupils you wish to include. Select one or more Year Groups and / or Classes then select Load Report:

Elements

Field Name

Description

X Pupils (in the selection set)

Number of pupils who are included in the report. This number is based on those pupils who are within the set of data that is displayed in the report based on your selection criteria.

Subjects

The name of the subject. Any combination of two or three subjects can be displayed on the Venn diagram and within the tables. By default these are Word Reading, Writing and Number (the Specific Aspects for EYFS).

Sets shown on the Venn diagram that don't intersect

Identifies pupils in that specific Subject only, based on the selection criteria.

The value shown doesn't represent all those pupils in the selected subject meeting the criteria, instead it shows those pupils who meet the criteria for that subject on its own and not that subject combined with the other subjects.

Overlapping sets on Venn diagram

Used to identify where pupil attainment / targets across any two, or all three subjects overlap (and are, therefore, at the same level for those subjects for the Assessment Period).

Numbers and Percentages for the sets on the Venn diagram

The number of pupils meeting the selection criteria shown as number of pupils out of the total amount of pupils, and as percentages.

In the example above, there are 100 pupils in total. They are being measured based on their Attainment for the Subjects Numbers, Writing or Word Reading. Specifically, the diagram shows whether their Attainment is 'Just At' or higher:

  • 95 pupils are 'Just At' or higher for at least one of Numbers, Writing or Word Reading.
  • In total, 40 pupils are 'Just At' or higher for Numbers.
  • In total, 30 pupils are'Just At' or higher for Writing.
  • In total, 25 pupils are 'Just At' or higher for Word Reading.
  • 20 pupils are 'Just At' or higher for Numbers and no other subject. This is shown as A.
  • 13 pupils are 'Just At' or higher for Writing and no other subject. This is shown as B.
  • 7 pupils are 'Just At' or higher for Word Reading and no other subject. This is shown as C.
  • 7 pupils are 'Just At' or higher for Numbers and Writing combined, but not Word Reading. This is shown as D.
  • 6 pupils are 'Just At' or higher for Writing and Word Reading combined, but not Numbers. This is shown as E.
  • 8 pupils are 'Just At' or higher for Word Reading and Numbers combined, but not Writing. This is shown as F.
  • 5 pupils are 'Just At' or higher for all three subjects combined - Numbers, Writing and Word Reading. This is shown as G.
  • 5 pupils are not on track for any of the three subjects either individually or combined - Numbers, Writing or Word Reading. This is shown as H.

The percentages shown are calculated by taking the number of pupils in each of the sets listed above and dividing them by the total number of pupils, and then multiplying by 100. For example, where 5 pupils are 'Just At' or higher for all three subjects (G above), and there are 100 pupils in total:

(Number of pupils in set ÷ Total number of pupils) x 100 =
(5 ÷ 100) x 100 =
5.0%

Pupils outside of diagram

The number of pupils who are not on track (or are not targeted to be on track) in any of the two / three subjects selected. In the example above, this value is represented by H. Five pupils are not on track / don't have targets set where they will be on track for any of the three subjects either individually or combined - Numbers, Writing and Word Reading.

Controls

Control

Description

Select to refresh the contents of the report. This is particularly useful if you think that the data may have changed whilst you were using the report, for example, if someone else added new assessment data during the time you were viewing it.

Filters (1 Active Filter or x Active Filters)

The filters control indicates how many filters are currently applied to the data set. Select to contextually filter the pupils.

Attainment / Targets

Select what type of data to view using the Venn diagram:

  • Attainment - Select to view Attainment data in the Venn diagram.
  • Targets - Select to view Target data in the Venn diagram.

Academic Year

Select the Academic Year that you wish to use when you run the EYFS (2020) Venn report. By default, this will be set to the current Academic Year, for example, 2023-2024.

Assessment Period

Select the Assessment Period that you want to use when running the EYFS (2020) Venn report:

  • Autumn 1.
  • Autumn 2.
  • Spring 1.
  • Spring 2.
  • Summer 1.
  • Summer 2.

By default, this is set to the current Assessment Period.

Schools often choose to align their Assessment Periods to terms as shown above, but this is not always the case. The values displayed may differ based on your school's assessment processes.

Subjects

Check the Subjects that you want to use when running the EYFS (2020) Venn report.

The Subjects to choose from are:

  • Listening, Attention and Understanding.
  • Speaking.
  • Self-Regulation.
  • Managing Self.
  • Building Relationships.
  • Gross Motor Skills.
  • Fine Motor Skills.
  • Comprehension.
  • Word Reading.
  • Writing.
  • Number.
  • Numeric Patterns.
  • Past and Present.
  • People Culture and Communities.
  • The Natural World.
  • Creating with Materials.
  • Being Imaginative and Expressive.

By default, Word Reading, Writing and Number are checked, however, you can uncheck these and / or check other subjects.

The system will only create a Venn diagram when two or three Subjects are checked. If you check any other number of subjects, the following error message is displayed, "Cannot display Venn diagram or table for this number of subjects (x)", where x is the number of Subjects checked.

Progress

Select the progress level that you want to compare across the subjects that you have selected when running the report. The progress level is shown for either the pupil's actual Attainment or their Targets (based on Attainment/Target selection):

  • Significantly Below - Show pupils whose Attainment/Targets are from any band that is below the ARE for the pupil's Year Group (or higher).
  • Below - Show pupils whose Attainment/Targets are in the band equal to the pupil's year group but below the ARE for the pupil's Year Group (or higher).
  • Just At - Show pupils whose Attainment/Targets are in the band equal to the pupil's Year Group and are just within the ARE range (or higher).
  • Securely At - Show pupils whose Attainment/Targets are in the band equal to the pupil's Year Group and are securely within the ARE range (or higher).
  • Above - Show pupils whose Attainment/Targets are in the band equal to the pupil's Year Group and are above the ARE range (or higher).
  • Significantly Above - Show pupils whose Attainment/Targets are from any band that is above the ARE for the pupil's Year Group.

By default, when the report loads, the progress level is set as Just At.

Display Options

Check / uncheck the following to control how the report is presented:

 

By default both the Chart (Venn diagram) view and Table view are enabled when the report is run. The Venn diagram is displayed above the tabular information in the report. 

PDF

Select to create a PDF version of the report. When created, the report is automatically downloaded to your device. To view the report in PDF format, locate and open the PDF file using either the built in download functionality in your web browser or the file management tools on your device.
