Target Tracker: Updating Pupil Information from Arbor (Contextual and/or Assessments)

These instructions are for creating a CTF file from Arbor which can be used to update Target Tracker with contextual and/or Key Stage Assessment data. Please note CTFs, in accordance with DfE guidelines, do not include Pupil Premium, EAL or Class names 

So the process should be:

  1. Create a CTF in Arbor
  2. Edit the CTF version
  3. Import the CTF into Target Tracker
  4. Edit classes - if a new school year for all children. If throughout the year, just those showing as 'Pupils not in a class' in Home > Pupil Selection. Editing class names
  5. Identify new children as PP and / or EAL where appropriate by editing from the contextual grid as with class names (you can either edit a single or multiple pupils)

Creating the CTF

Start from Arbor's dashboard. Click on School > Data > Export > CTF Export.

Bring up list of previously created CTF files. Click on the + button (top right) to create new CTF.

In ‘What would you like to do?’ select CTF Export (students).

New CTF Export

Select current academic year. Leave all other dropdowns (Year Group/Reg Form/Demographic filter etc ) blank.

In Destination LA dropdown click ‘School in England or Wales’. Click on next step.

CTF Type = Full CTF File (tab)

In LA destination dropdown – choose own LA

In School dropdown – choose your own school

Scroll down to bottom of list and click Create CTF. In the CTF list, the file will now be processing (can take some time). When it is ready, click to open.

Click on green download button and save the file.

Importing the CTF into Target Tracker

Please ensure you have the latest version of the TT software installed - Download here

 Log in to Target Tracker as an Admin user and click on File > Import. Then choose one of the following options:

Update Contextual

For existing pupils - only contextual information will be imported.

New pupils will be added - statutory assessment data will also be imported. Leavers can be removed, if you select Whole School File

Update Assessments

Only statutory assessment data for existing pupils will be imported. No new pupils will be added, and no leavers will be removed.

Update Contextual & Assessments

Contextual and assessment data will be imported for all pupils. New pupils will be added, leavers will be removed by clicking on Whole School File

Browse to the CTF and follow the instructions. A summary of the changes will be shown - leavers (in red - if you have ticked the 'whole school file' box), new joiners (in green) and modified (in orange), check this information and continue with the import if the information is correct. If you see that the same pupil is being shown as joining and leaving, please contact us, it is likely to be a mismatch of data currently held against the child on Target Tracker to what is in Arbor.
