Target Tracker help will soon be switched off
Target Tracker migrations to Sonar Tracker are almost complete. Once everyone has migrated, these help guides will be switched off.
These instructions are for creating a CTF file from Cloud School which can be used to update a Target Tracker database with Contextual & Key Stage Assessment data.
It is worth bearing in mind that PP, EAL and class names will not be updated from this file so will need to be updated manually from within the contextual grid. (Key to Success do produce a csv file of PP info which can be downloaded and imported into TT using File > Import > Update Pupil Premium).
If assessment data is included in the CTF, when you update contextual, any new children will be imported along with any KS data they have.
Additionally, leavers will not automatically be suggested - putting a tick in the 'Whole school file' box will refresh the display, showing children not found in the incoming file in pink.
Creating the CTF
Go to People, Learner and click Export Data. Click the radio button Other Application. Click the button Select Learners
The first Attribute to add is Year, in Condition select Begin With and in Value select all year groups required. The second Attribute to add is Learner Status, in Condition select Begin With and in Value select Active.
Click on Search, tick the box beside Learner Code to select all pupils and then click on Export
Select Core Information, Basic Details, FSM History, Looked After, SEN History, School History, Address, Attendance, and Attendance Sessions. To include Key Stage assessment data, select Stage Assessments
Click Next twice, and then you will then be asked to wait. Confirm you have no errors and click Next.
Your CTF is ready. Click to Download file.

Importing the CTF into Target Tracker
Please ensure you have the latest version of the TT software installed - Download here
Log in to Target Tracker as an Admin user and click on File > Import. Then choose one of the following options:

Update Contextual |
For existing pupils - only contextual information will be imported. For new pupils - assessment data will also be imported. New pupils will be added and leavers can be removed (if you select ‘whole school file’ in the right hand corner of the screen) |

Update Assessments |
Only assessment data for existing pupils will be imported. No new pupils will be added, and no leavers will be removed. |

Update Contextual & Assessments |
Contextual and assessment data will be imported for all pupils, overwriting statutory data. New pupils will be added and leavers can be removed (if you select ‘whole school file’) |

Note: If you would like pupils who have left to be removed, you will need to click in the box towards the top right of the screen that says 'Whole School file' - the file will be read again, after which the tick will appear in the box and the screen will refresh.
NB: Please carefully check children highlighted pink have all left as they will be removed if you continue (please call us if any of these children have not left)
Children highlighted in green will be imported if you continue.
Please check that the data to be input looks correct before continuing and completing the import.
