Target Tracker: Updating Pupil Information from Pupil Asset (Contextual)

These instructions will enable you to produce a report from Pupil Asset to update Target Tracker with contextual data e.g. add new pupils, remove leavers, update FSM, SEN information, class details and attendance data for the current year. This does not update assessment data.

 

Pupil Asset have produced an export file that includes all of the relevant contextual data for Target Tracker (including PP, EAL and class names, which are not in a ctf) so is our preferred option for adding / removing pupils as well as ensuring all contextual information is up to date.

In Pupil Asset:

You will need to be an ADMIN user.

  • Go to the Admin tab, then Export > External (Manual Download) - that's down the left hand side.
  • Select Target Tracker from the drop down menu.
  • The data will then load onto a table on the page, so it can be checked.
  • Select 'Download as XML' to create the file.

Importing into Target Tracker

  • Click on File > Import > Update contextual

Once successfully imported you will then see a Summary screen identifying all of the changes that will be made. 

Please check this screen carefully;

Changes will be identified as follows:

Pink To be removed

Have all of these children left the school? If not, there has been a mismatch of data. Cancel the import and amend the children's records or give us a call.

We would not normally expect Yr 7 (or Yr3 in an Infant School) to be removed when they leave - give us a call if you have any queries.

Green To be added These should be children not already in Target Tracker
Orange To be modified This may be SEN /PP / attendance information

If you are happy for all the changes to be made, click Continue and then Update Contextual on the next review page.

For any new children who have been added, statutory assessment results (ELGs, Phonics, KS1) can now be

  • input manually, or
  • imported using the CTF that came from their previous school (Click File >Import > Update Assessments, browse to the CTF that came from the child's previous school > Import), or
  • imported using a CTF created in Pupil Asset for individual children, or a cohort, such as Year 3 for a Junior School - Updating Pupil Information from Pupil Asset (Including Assessments)
