Target Tracker: Updating Pupil Information from SIMS (Contextual and Assessments)

These instructions are for creating a CTF from Sims which can be used to update Target Tracker with Contextual and/or Key Stage Assessment data.

If only contextual data updates are required you should create a TT v15.5 Pupil Update report. This report will update more forms of contextual data than a standard CTF file will e.g. Pupil Premium, Class name - Updating Pupil Information from SIMS (Contextual)

Creating the CTF

Select Routines > Data Out > CTF > Export CTF. Then select General.

There are a series of tick boxes in this section. Ensure that Student Basic Details is selected, along with any contextual fields you require.

To include Key Stage data, tick Assessment Data and KS1 Tasks/Tests.

  • Please do not include Student Contacts or Programme of Study
  • If you wish to update assessment data only, Student Basic Details, Assessment Data and KS1 Tasks / Tests need only be ticked

In the Student Options section make sure that the View is set to ‘Current students’ and that ‘Include students already exported’ is ticked. Click on ‘Refresh Students’ to ensure that you have all of the pupils.

You will need to export the children to a Destination School. If you wish to create your CTF for a selection of pupils, simply choose your school name in the Destination School column for the pupils you require. If you wish to create your CTF for the whole school, right-click in the top cell of the Destination School column, and Select All. Then use the drop-down menu to select your school name. It will then apply this across the whole column.

To finish, click on Export CTF. Once SIMS has created the file, a message will pop up on screen, listing the filename. Make a note of this so it that you can easily identify the file required when you come to import into Target Tracker.

Importing the CTF into Target Tracker

Please ensure you have the latest version of the TT software installed - Download here

Log in to Target Tracker as an Admin user and click on File Import. Then choose one of the following options:

Update Contextual

For existing pupils - only contextual information will be imported.

For new pupils - assessment data will also be imported. New pupils will be added and leavers can be removed (if you select ‘whole school file’)

Update Assessments

Only assessment data for existing pupils will be imported. No new pupils will be added, and no leavers will be removed.

Update Contextual & Assessments

Contextual and assessment data will be imported for all pupils. New pupils will be added and leavers can be removed (if you select ‘whole school file’)

You will then be asked to browse for the CTF you have just produced.

The file will be read. It is important that you check that

  • all of the children highlighted pink (if you have selected ‘whole school file’) have left
  • all of the children highlighted in green are new to Target Tracker

If this is not the case, it is usually due to incorrect UPNs please contact the helpline for support.

If you are happy this is correct continue with the import.

NB: This process will not update class names, PP or EAL information. There is an alternative file you can create that will do this - please contact us for guidance.
