MIS
Overview
This article explains how to manage staff changes at the end of the academic year in Juniper MIS, including adding new staff members and processing leavers. You must complete these activities before completing the end of year rollup. This process involves:
- Adding new starters.
- Optionally, adding contract for a new staff member (you may wish to do this at a later stage when needed).
- Processing any employees who are leaving.

Follow these steps to create a record for a new staff member in Juniper MIS:
- Go to Staff / All Staff.

Select Create:

From Create Staff:
Enter all mandatory details (those marked with an asterisk) and any optional details you choose for the new member of staff. As a minimum:
- Enter Forname.
- Enter Surname.
- Select Gender.
- Select Date of Birth.
- Select Current for the System Status.

Enter the employees work Email address.
It is important to use their work email address as this will be used for giving them access to Juniper Education systems through Portal.
- Select an Address Type.
- Enter the first line of the staff member's address into Address Line 1.
- Enter a postcode in Address Postcode.
- Select Save. You are returned to All Staff:
- From All Staff, locate the staff member you have created and select their Full Name to open their record.

From within the Personal Details tab, select Edit:
- Scroll down to Employment Start Date. Select or enter the date that they start to work in your school.
- Select Save. A confirmation of the update is displayed and your changes are saved.
You can now add a contract for the staff member as needed, and invite them to the Juniper Portal as required using their school email address (see Portal: How do I invite a staff member to use a product?).
Adding a contract is optional. Contracts are recorded in Juniper MIS for statutory reporting purposes only, for example, for the School Workforce Census. If you do not want to record contract details immediately, skip the next section.
- Follow these steps to add a contract to the new staff member's record:
- Go to Staff / All Staff.
- Locate the staff member and select their Full Name to open their record:
- Select the employee's Contracts tab:

From the Contracts tab, select Edit:

Enter the contract details:
- Select the Staff Post and Staff Role.
- Select a Start Date.
- Select the Contract Type.
- Select Save.

To process a staff leaver, you must update their employment end date in their staff record to reflect the date that they are leaving and the reason (if known). If you use contracts in the MIS, and they have one or more contracts recorded, you must also set an end date on each of those contracts.
Set the employment end date and reason for leaving
Follow these steps to update the staff member's record with an employment end date and reason for leaving:
- Go to Staff / All Staff.
- Locate the staff member and select their Full Name to open their record.

From within the Personal Details tab, select Edit:
- Scroll down to Employment End Date and select or enter the date that they leave your employ.
- Select a reason for leaving in Leaving Reason.
- Select Save. A confirmation of the update is displayed and your changes are saved.
Set the contract end date (where applicable)
Follow these steps to update the staff member's contract:

From the staff member's record, select the Contracts tab:

Select the ID (Contract number) for the contract you want to end:

Select Edit:
- Select or enter the Contract End Date.
- Select Save. A message is displayed confirming that the changes you have made to the contract have been saved.
- If the staff member has more than one contract, repeat Step 2 to Step 5 for each additional contract, to set the Contract End Date for each individual contract.
Next steps
After processing your staff changes, return to the End of Year wizard, where you can submit your rollup through the End of Year wizard, confirming that the rollup is complete.
