MIS: Import pupils (joiners) ready for the new academic year

Overview

This article explains how to import new pupils into Juniper MIS using a CTF or ATF file, and how to set their start dates. Managing admissions is the third task in the end-of-year rollup process.

To import multiple CTF or ATF files, repeat the steps below for each file. Previous imports are listed on the CTF/ATF Import page with their date and status. 

Prerequisites

  • You must be an Account Owner or Account Admin to import admissions.
  • You must have a CTF or ATF file ready to upload. These are provided by the pupil's previous school or the local authority.
  • Term dates for the new academic year must already be set. See Set Term Dates in Juniper MIS.

Import a CTF or ATF file

Follow these steps to import pupils from a CTF or ATF file. The import wizard takes you through five steps.

  1. From the End of Year wizard, select Go to page next to Manage admissions. You are taken to the CTF/ATF Import section under Statutory:

  2. Select Import CTF/ATF to start the import wizard:

  3. From Step 1 - Import File of the Import CTF/ATF wizard:
    1. Either select Choose File and select the file you want to upload, or drag and drop a file from your device onto Choose File.
    2. Review the import file details when displayed.
    3. Select Next.
  4. From Step 2 - Pupils Selection of the Import CTF/ATF wizard:
    1. Review the list of pupils from the file that appears. 
    2. Check the checkbox next to Full Name to select all pupils. If any pupils show No pupil UPN found in the status column, select Create temporary UPN to generate temporary UPN values for them. 
    3. Select Next to continue.
  5. From Step 3 - Containers Selection of the Import CTF/ATF wizard:
    1. Check the data containers you want to import. Select BasicDetails as a minimum. You can also select additional containers such as Address, Contacts, and SENhistory as needed. 
    2. Enter the Start date for pupils who are not yet live in the system. 

      Set the start date as the first day of the Autumn term to register new pupils as pre-admissions. They appear in the system but are not counted as active until that date.

    3. Select Next to continue.
  6. The system processes the import during Step 4 - Importing:
  7. One complete, Step 5 - Result opens. A results table shows the outcome for each pupil. A Success status confirms the pupil has been imported. Select the arrow next to a pupil's name to see more detail about their import:

    Where a record is not successfully imported, select the arrow at the start of the row to view any errors:

    Select View All CTF/ATF imports to see a list of all imports that have been in a list format.

Tips and best practices

  1. If a pupil already exists in the system, their status shows as Matched with existing pupil. Data you import will overwrite the existing data for the containers you select, so check carefully before proceeding.
  2. If you receive a file and are unsure whether it is a CTF or ATF, check the file name. ATF files typically contain ATF in the filename.
