People First: How do I change an employee's working pattern?

Overview

This article explains how to change an employee's working pattern. 

Generally, the basis of the working pattern will not change; it will normally be the Pattern set up that will need amending.

Instructions

Follow these steps to change an employee's working pattern:

  1. Search for the person using the search bar, or locate them in the Organisation Chart and select their name.
  2. Select the Employment section in the Personal tab in their record:

  3. Select the expand icon to view the record full screen:
  4. Where an employee has multiple jobs recorded, select the Job whose details you want to update.
  5. Select the Working pattern card:

  6. When prompted:
    1. Select / enter a new applicable date in Make a new edit on.
    2. Select Add new.
  7. Select Edit:
  8. Ensure Override to edit is toggled on:

  9. Select Unlock, then change the details as needed, considering the following (it's unlikely you will need to change these):
    1. Pattern Type:  Usually Basic 1-2 weeks.
    2. Pattern name: Monday - Friday 7.4 (for support) Monday - Friday 6.5 (for teachers)
    3. Number of weeks in Pattern: Usually 1, but can be 2.
    4. Pattern start date: Defaults to the start date of employee.
    5. Non-working pattern: This is pre-set as applicable.
  10. Select Continue.
  11. Scroll down to the Pattern set up pane:

  12. The Pattern Set Up pane shows editing pencils to the right of each day. Follow these steps to make your changes:
    1. To update a single day, select the pencil next to the day, change as applicable and then select Save.
    2. To update multiple days with the same values, check the relevant days which will reveal a bulk update option in the pattern set up, change as applicable and then select Save.
    3. Select Save at the bottom of the pattern set up.
    4. Select Yes, when the warning appears regarding absences.
  13. Select Employment information to return.
  14. Select Save.
  15. Select Yes when prompted to confirm any changes you have made.
  16. Select Employment information to return.

Outcome

The employee's work pattern is updated to reflect the changes that you have made.

Working patterns must match the contracted hours for absence schemes to calculate correctly. If changes have been made to an individual's Working pattern ensure that their Hours & Basis are updated for the selected job. See People First: How do I change an employee's hours and basis?
