Overview
This article explains how to use Filters to narrow pupil search results and limit visible records. Filters can be applied on pages like All Pupils, Admissions, Statutory Assessments, All Medical Conditions, and Attendance Over Time. The content of the filters differs based on the page, but there are some common themes across the different pages.
Filters allow you to view pupils by Class, Year Group, Custom Groups, Status, SEND status, and other contextual data.
You can also enter search terms in the Search bar alongside filters.
Instructions
The filtering method on the All Pupils page is different from other pages. Soon, the new filters used on the All Pupils page will be applied across all pages.
Select the appropriate tab to learn how to apply filters:
- From All Pupils:

Select a combination of one or more of Year Group, Class, or Custom Group:
To remove a selection, select the X next to the value.
- Select Characteristics. For each Characteristic (as appropriate), select either Only (to include in filtered results) or Exclude (to remove from filtered results):

Select Filters to view the Filters slide out:
- Expand each accordion, then select / check the various filters that you want to include / exclude from your search results.
- Select Apply Filters.
Select Clear All to remove any filters set from the Filters menu.
Optionally, enter any search terms in the Search bar to further narrow your search.

Pupil Filters
Select the appropriate tab to view the available pupil filters:

The following filters are available for selection in All Pupils:
Filter Name Description Year Group Filter pupils by year group. Class Filter pupils by class. Custom Group Filter pupils using any custom groupings (including dynamic groups) that your school has configured. Status Filter pupils by their school admission status:
- Current (those pupils who are approved and on roll).
- Admission (those pupils who are new admissions to the school but have not yet been approved and added to your school roll).
- Leavers (those pupils who have left your school and are no longer on roll).
Under Characteristics (Select All, Only, or Exclude from filters) Disadvantaged Pupils categorised as disadvantaged. EAL Pupils who speak English as an additional language. Ever 6 Pupils eligible for FSM at some point in the past six years, or are a service child with a parent who left the armed forces within the last six years FSM Pupils in receipt of Free School Meals. In Care Children who are looked after. Pupil Premium pupils who are in receipt of Pupil Premium. PA Pupils categorised as having persistent non-attendance. SA Check to search for pupils who are categorised as having severe non-attendance. Under Filters Status Found under Quick Filters, Status lets you filter pupils by their school admission status:
- Current (those pupils who are approved and on roll).
- Admission (those pupils who are new admissions to the school but have not yet been approved and added to your school roll).
- Leavers (those pupils who have left your school and are no longer on roll).
Academic Year Found under Quick Filters, filter pupils by Academic Year. Early Years Check EYPP to restrict results to those pupils with Early Years Pupil Premium. Ethnicity Use the filters to restrict results by Ethnicity, First Language spoken and Religion. Medical Check Medical Flag to filter only by pupils flagged as having a medical condition. Use the filters to restrict results by Dietary Requirements, Food Allergies and Medical Conditions. Pupil Check Statutory Age to filter results to pupils currently of statutory school age (pupils become of statutory age from the start of the term after their fifth birthday). Use the filters to restrict results by Sex, Consents, Consent Status, birth range (Date of Birth (From) and (To)), or by Age. School Use the operator listed under Sign and the Attendance Percentage to filter by attendance. Use the Start and Leaving Dates to restrict those pupils listed by when they started or left your establishment. SEN Select a SEN Code to filter pupils by their SEND status:
- K - SEN Support (those pupils in receipt of SEN Support).
- E - Education, Health and Care Plan (those pupils who have an EHCP)
- N - No Special Educational Need (those pupils with no SEN)
- Select an SEN Type to filter by their SEND type.
Select All, Only, or Exclude from filters for:
- DAF Indicator - pupils flagged as being in receipt of Disability Access Funding.
- Disability - pupils flagged as having a Disability.
- IEP - pupils with an Individualised Education Plan.
Social Factors Select All, Only, or Exclude from filters for:
- PLAA (Post Looked After Arrangements) - a child who has previously been in care.
- Services Child - pupils flagged as being the child of a parent in the armed forces.
- Young Carer - pupils flagged as being young carers.
Contacts Select All, Only, or Exclude from filters for pupils who have Siblings. In addition to the filters above, other pages have context-specific filters that can be used to narrow your search, for example, Pupil Medical Conditions includes filters that let you select different medical conditions, or whether a pupil has a food allergy.

Outcome
The set of pupil data that you are filtering will be narrowed based on your search criteria.
Within the All Pupil view, to save your filters for future use, save as A Report (see MIS: How do I create a pupil list report?).
Within the All Pupil view, to create a group based on the values selected using the filters, save you selection as a Dynamic Group (see MIS: How do I create a dynamic pupil group?).
