MIS: How do I generate a UPN for a pupil?

MIS

Overview

This article explains how to generate a DfE compliant permanent or temporary Unique Pupil Number (UPN) for a pupil.

When UPNs are generated automatically, your school’s Local Authority Number and Department Establishment Number (stored in the MIS), and the current academic year are used.

Prerequisites

  • You must have the appropriate permissions assigned to your Juniper Education account to edit pupil records.

Generate a Temporary UPN

Follow these steps to generate a Temporary UPN that adheres to the DfE guidance for a pupil:

  1. Select Pupils.
  2. Select All Pupils.
  3. From Pupil List:
    1. Find the pupil whose UPN you want to update, using the search bar or filters as appropriate.
    2. Select the pupil's Full Name to open their profile.

      1. Select Convert to Permanent UPN.
      2. When prompted, select Confirm, to confirm that you want to move the temporary pupil UPN into the Pupil's Former UPN.

The new UPN is displayed, and the (original) Temporary UPN is listed in Pupil's Former UPN:

      Continue to Step 7.

      Continue to Step 7.

Tips and best practices

  1. Wherever possible, only use a DfE compliant Temporary UPN. This allows you to use the MIS to bulk change Temporary UPNs to Permanent UPNs. Where Temporary UPNs do not adheres to the DfEs guidance, the tool will not update them.
  2. Only use a temporary UPN while you wait for a permanent one, for example, from a pupil's previous school.
  3. If a pupil is new to education, generate a permanent UPN, not a temporary one.
  4. To convert temporary UPNs for one or more pupils in bulk, see MIS: How do I convert temporary UPNs in bulk?
