Sisra Analytics: Why aren't a qualification's grades appearing in the Reports?

Overview

This article explains how to check why qualification grades are not appearing in Reports and to fix the problem.

There are several reasons why a qualification's grades may not appear in the Reports:

  • Grades have not been published/republished.
  • Grades have not been uploaded to the qualification.
  • Grades have not been uploaded to the correct qualification.
  • The qualification hasn't been set-up correctly on the Matching page. 

Instructions

Work through the checklist below to fix the problem:

  • Check that you've published/republished your Grades dataset(s) in DATA > Select your keystage and cohort > Grades > Publish Grades. This ensures that the grades and set-up in your reports are up-to-date.

  • Skip this step if you navigate to Grades > Grades Management > Select your dataset and the grades have been uploaded to the qualification you are investigating.

    The grades you are looking for may not have been included in the file uploaded to Grades > Uploads > Select your dataset. To check:

    1. Navigate to DATA > Select your keystage and cohort > Grades > Grades Management > Select your dataset.
    2. Scroll to the relevant qualification and look if grades have been uploaded to this qualification. In the example below, BTEC Travel & Tourism doesn't have grades uploaded to this dataset:
    3. If these grades should be present in the upload:
      1. Upload a separate file to Grades > Uploads > Select your dataset, containing only the missing grades.
      2. Alternatively, reobtain the full grades file from your MIS that includes the missing grades. Upload this new file to Grades > Uploads > Select your dataset. When you have checked that the data is present and correct, delete the previous file.
    4. Finally, republish in Grades > Publish Grades.
  • Skip this step if you navigate to Grades > Grades Management > Select your dataset, and find that there is only one possible qualification present, and the grades are uploaded and present.

    This check involves determining the correct qualification and moving the grades over as needed.

    3.1 Check which qualification is correct

    Grades may have been uploaded, but to the wrong qualification. This often happens when Combined Science grades are accidentally uploaded to a historic KS3 Science qualification, but can occur elsewhere with similar, duplicate qualifications.

    To check where the grades are uploaded:

    1. Select Grades > Grades Management > Select your dataset.
    2. Scroll down and look for the qualification you are checking
    3. Check which qualification the grades are uploaded to. In the below example, the grades have been uploaded to the qualification Science rather than Science Combined:
    4. Open the Grades > Matching page. In the following example, Science Combined is the correct qualification, as this is set to Current (not Historical) and the latter Science qualification is set to Not Included:
    5. If both qualifications are set up and included, navigate back to Grades > Grades Management > [Select your dataset]
    6. Scroll down the page and select the magnifying glass in the Actions column next to your qualifications.
    7. Check which qualification is used to upload your current grades, and which contains your grades in this dataset. In the example below, Science Combined is used in KS4 uploads:

      But, in this page's Science qualification view, the qualification was used in KS3 and not KS4:

    3.2 Move grades over

    To move the grades from one qualification to another:

    1. Select Grades > Grades Management > Select your dataset,
    2. Scroll down the page and select Grade Count for the qualification you want to move the grades from.
    3. From the next page, check the box in the Grade column header to select all on this page:
    4. Select Move
    5. Select the correct qualification you want to move the grades to:
    6. Select Move.
    7. Repeat these steps if there is more than one page of grades to move over. See Sisra Analytics: Copying or Moving Grades for more information.
    8. Republish in Grades > Publish Grades.

    There is no way to move Attitude to Learning judgments to a new qualification. You must reimport these into Grades > Uploads > Select your dataset, in the appropriate Attitude to Learning tab. See Sisra Analytics: Importing Attitude to Learning Judgements (Admin) for more information.

  • If your grades are uploaded to the correct qualification, there could be a problem with how the qualification has been set up in Grades > Matching. In the below example, Art Graphics grades are not showing in the reports. After checking in Grades > Grades Management > [Select your dataset], these are shown to be present under this qualification. After navigating to Grades > Matching it is clear that the qualification has not been correctly set up:

    Complete the Matching set up for this qualification to ensure it is correctly shown in the Reports. See  Sisra Analytics: KS3/4 - Completing the Matching page (Admin) or Sisra Analytics: KS5 - Completing the Matching page (Admin) for more information.

    Republish in Grades > Publish Grades.

    Where a qualification has not been linked correctly to a qualification / QN because it's unapproved, link it to a Sisra Unapproved qualification. Outcome

You can see your qualification grades in your Reports.

After following the steps above, contact us if you still can't see your qualification's grade.
