Sisra Analytics: KS5 - How do I upload BTEC Exam Grades into Sisra Analytics?

Overview

This article outlines the challenges associated with uploading KS5 BTEC Exam grades into Sisra Analytics for BTECs equivalent to two A Levels or more, and offers two methods for completing a successful import.

When the JCQ provides results, the file format differs from the standard assessment format in Sisra Analytics. When uploading these JCQ values directly into Sisra Analytics, they will be treated as invalid, preventing publication or analysis in reports.

Pearson's table below shows how JCQ codes relate to the official grades for each qualification type, for example, a value of D2 for an Extended Diploma would be a D*D*D grade:

There are two options to choose from when deciding how to upload your data for analysis within Sisra Analytics:

  1. Use alternative upload values. Use Alternative upload values if your grades are in a different format to what's already configured in Sisra Analytics. For example, use the Extended Diploma column from the JCQ table, you can use an Alternative Upload Value of D2, which Analytics will recognise as D*D*D.
  2. Use find and replace in Microsoft Excel to change JCQ grades into values you've already configured in Sisra Analytics.

You must be an administrator.

Select a tab below for instructions about how to upload your BTEC data:

  • Use alternative upload values

    To add alternative upload values to your Grade Methods:

    1. Select CONFIG.
    2. Select Grade Methods.
    3. Select KS5 Methods.
    4. Select the Grade Method Name you want to change.
    5. Select Reconfigure:
    6. Select Next multiple times until you reach the Alternative Values step:
    7. Check Include alternative upload values
    8. Enter the appropriate Alternative Upload values (for example below, the JCQ values for an extended diploma are used):
    9. Once completed, select Next multiple times to continue the Grade Method setup process through to the end.

    If you already have different alternative upload values in use Use find and replace option instead, so that historical data isn’t affected.

  • Use find and replace

    Follow these steps to change the JCQ grades into the values you already have set within CONFIG. > Grade Methods > KS5 Methods:

    1. Open the results file in Microsoft Excel.
    2. If you have multiple BTEC qualifications, select the appropriate column where the BTEC results you want to change are stored. This restricts any changes you make to this column only.
    3. Either:
      1. Press CTRL + F on your keyboard, then select the Replace tab.
      2. Or select Find & Select > Replace from the Home toolbar:
    4. Enter the JCQ value in Find what:.
    5. Enter the grade in the format of your grade method in Replace with:.
    6. Select Replace All:
    7. Select OK, after reading the number of replacements made:
    8. Repeat Steps 2 to 6 for any other BTEC qualifications you want to change the values for.
    9. Save your file in a CSV, XLSX, XLS or XML format.

Outcome

You can now upload your results into Sisra Analytics.
