MIS: How do I request / update parental consent data in a pupil's record?

Overview

This article explains how to record parent consent for a child in the pupil's record. When consent is requested, the parent can either grant or not grant permission.

Parental permissions are an important part of school data and essential to ensuring schools comply with GDPR data requirements.

Typical parental consent covers permission for pupil photographs, use of their information on the school website, and participation in regular school trips.

Prerequisites

  1. You must have Partial Edit, Full Edit, Account Admin or Account Owner to update consents
  2. You must have a suitable Consent Type against which to record parental consent. For further information, see MIS: How do I create a new consent type? 

Instructions

Follow these steps to update parent consents for an individual pupil:

Open the pupil record

  1. Select Pupils.
  2. Select All Pupils.
  3. From All Pupils, locate the pupil from the list (use filters / search as appropriate):

  4. Select the Pupil's Full Name to open their Pupil details:

Record the appropriate consent

  1. From the pupil record, select the Consents tab:

  2. From within the Consents tab, select Edit:

  3. Where the Consent Type is already listed:

    1. Select either Granted or Not Granted for the State. By default this is set to Requested.
    2. Select the parent who has provided the consent in Informed By. The names available for selection are the names of those contacts who have been flagged as having parental responsibility for the pupil. 

    Where the existing Consent Type is not in the list, for each additional Consent Type:

    1. Select Add.
    2. Select a Consent Type
    3. If a response to a consent has already been made:
      1. Select either Granted or Not Granted for the State.
      2. Select the parent who has provided the consent in Informed By. The names available for selection are the names of those contacts who have been flagged as having parental responsibility for the pupil. 

    If the Consent Type is not listed, you must add a new one. For further information, see MIS: How do I create a new consent type? 

  4. Select Save.

Outcome

The parental consent for the pupil will be updated on the pupil record with the changes that you have made:

The changes made will also reflect in the Pupil Consents Dashboard and when viewing the associated Consent Type.
