Comms Hub: How do I delete an informal observation?

Overview

This article explains how to delete an informal observation that has been approved in Awards & Activities. When an observation is deleted, all related details are removed from Awards & Activities, and the tallies / totals for all affected pupils and their associated class(es) and year group(s) are updated accordingly.

You can only delete an observation that has been approved. A badge Pending Approval or that has been Declined cannot be deleted. If a badge is awarded to multiple pupils at once, deleting the badge will remove it from all pupils (you cannot delete it for a subset of pupils to whom it was awarded). 

If you are a Sonar Tracker user, you cannot delete observations created within Sonar Tracker using the method explained in this article. These observations must be deleted in Sonar Tracker. See Sonar Tracker: How do I delete an observation? for detailed instructions.

Prerequisites

  1. The observation that you want to delete must be Approved

Instructions

From within Comms Hub, follow these steps to delete an observation:

  1. Select Approvals.
  2. Select Observations to open All Observations.
  3. Locate the observation that you want to delete using search or the status filter (set to Approved) as needed.
  4. Select the observation Title that has been approved to delete:

    This cannot be an observation created in Sonar Tracker.

  5. From the observation, select Delete:

  6. When prompted, select Confirm to delete:

Outcome

You are returned to All Observations. The observation is deleted. A message confirms this:

The observation is removed from all tallies / totals, for the individual pupil(s), class(es) and year group(s).

In the example below, three pupils had been observed in one informal observation. For each pupil, the observation is removed from each of their individual observation tallies / totals, and 3 observations are removed from their class tally / total after the deletion. This deduction, although not shown below, is also made to their year group observation tally / total.
