Overview
This article explains how to import one or more pupil profile photographs (PNGs or JPEGs) in bulk using a ZIP file,the contents of which are automatically assigned to the appropriate pupil using their Unique Pupil Number (UPN). Using this approach will save you considerable time when adding pupil photographs to pupil records.
Prerequisites
- You must create a ZIP file that contains the pupils photographs that you want to upload. The filename can be a suitable name of your choice, for example, Class-1-Photos.zip.
- The photographs contained in the ZIP file must be:
- In either a PNG or JPEG format.
- Have file names for each photograph that comprise the corresponding pupil's UPN (for example, A926111116373.png).
- Be no larger than 400 x 400 pixels.
- Be no larger than 1 MB in size.
Instructions
Follow these steps to upload your pupil profile photographs in bulk in the MIS:
- Select Manage.
- Select Import Pupil Profile Photos.
- Select Import Pupil Profile Photos:
- From Step 1 - Import File:
- Select a ZIP file of your choice to upload. Either select Choose file and navigate to the file, or drag and drop the file onto the area of the screen labelled No file chosen.
- Select Next.
From Step 2 - Selection:
- Ensure that the pupils and photographs are correctly matched. Uncheck any photographs that you do not want to import.
- Select Next.
If any of your photo files are of in an incorrect format or of an incorrect size, an error message will display listing the erroneous file details and what's wrong, for example:
Correct any errors as indicated, and restart the import.- A progress indicator is displayed when the files are being imported (Step 3 - Importing). After the files have been imported, the results are displayed (Step 4 - Results). Select View All imports to see a list of all pupil profile imports:
Outcome
The pupil records for all selected pupils are updated with the new photographs.
