Overview
This article explains how to export a school census file from Juniper MIS for your statutory return. The census happens three times a year, once in each of the Spring, Summer and Autumn terms.
Registered independent schools do not complete this census. Instead, they complete a School-Level Annual School Census (SLASC) in the Spring term.
Instructions
Follow these steps in the MIS to complete the school census:
- Select Statutory.
- Select School Census to open the All Census Exports:
- Select Export Census:
- From Step 1 - Data, select the time of the year that you want to generate the census for in Export type. Select:
- Autumn - to prepare a school census for the Autumn term.
- Spring - to prepare a school census for the Spring term.
- Summer - to prepare a school census for the Summer term.
- Select Next.
- From Step 2 - Super Summary:
- Review the pupils in the list to be included in the census, along with any data relating to them. Pay particular attention to any cells that are coloured amber or red. Roll over the cell to view details of relating to the error or warning, for example, where data is incorrect or missing:
- Where there are errors or warnings, fixed them at source in the MIS (however, you can continue and fix them in the output file that is created for the purposes of the census).
- To remove a student from the export:
- Uncheck the box next to their Full Name:
- Select Reload Page.
- Uncheck the box next to their Full Name:
- Review the pupils in the list to be included in the census, along with any data relating to them. Pay particular attention to any cells that are coloured amber or red. Roll over the cell to view details of relating to the error or warning, for example, where data is incorrect or missing:
- Select Next.
- From Step 3 - Additional information, select whether pupils have taken school lunch on Census Day:
- Once completed, select Next.
Step 4 - Exporting is displayed with a progress indicator. After a few seconds the School Summary Report tab, in Step 5 - Result opens (in the DfE format):
- Review the content of the School Summary Report.
- Select Validation Report to view any errors / warnings following school level validation:
- Select the Validation Errors List tab to view any errors / warnings following pupil level validation including detailed descriptions of what's wrong:
We recommend any errors or warnings be fixed at source in the MIS before creating the output file.
- Select the File Download tab:
- From the File Download tab either:
- Select Download export, to save a copy of the Census as an XML file to your device's Downloads folder ready for submission.
- Select View all Census exports to return to the list of Census exports, without downloading.
Outcome
The XML file is saved to your Downloads folder, ready for editing / submission:
If you want to download the census again in the future, you can do so by selecting Download next to the appropriate CTF export file on the All Census Exports page:
