MIS: How do I process / archive leavers in bulk?

Overview

This article explains how to mark / flag pupils as leavers (pupils who have left your school) in bulk and generate a CTF file for them. This may be as part of your end-of-year process, or at any other time during the academic year. 

Prerequisites

  • You must have the appropriate permissions assigned to your Juniper account to flag multiple pupils as leavers and create a CTF file for them.

Instructions

Follow these steps to flag multiple pupils as leavers and create a CTF file for them:

  1. Select Statutory.
  2. Select Exports.
  3. Select Leavers.
  4. From Leavers, select Process Leavers:
  5. From Step 1 - Destination:
    1. Select a Leaving Date for the leavers.
    2. Select a Leaving Reason.
    3. Select a Destination Institution (or select Unknown Destination, if unknown).
    4. Select Next.
    5. Optionally, check Create CTF to generate a CTF file to send to the pupils' new school
  6. From Step 2 - Selection:
    1. Check those pupils that you want to mark as leaving. Use the filters as appropriate to narrow down search, for example, if you were marking the whole of Year 6 as leavers.
    2. Select Next.
  7. From Step 3 - Confirmation:
    1. Review the list of leavers.
    2. Select Next (or Previous to return to the last page if you've selected anyone by mistake).
  8. Step 4 - Result indicates progress, then provides a summary of the changes:
    1. Select Download Export to download a copy of the export file to your device.
    2. Select View All Leavers CTF Exports to close the window and return to Leavers.

Outcome

The selected pupils are marked / flagged as a leaver in their pupil record. If you choose to create a CTF, the CTF file is saved to your downloads folder on your device.

Assessment data for pupil's marked as leavers will remain in the system, however, they will no longer appear in pupil lists or in any assessment windows by default.
