Sisra Analytics: KS3/4 - How do I change an in-use EAP Baseline's Grade Method? (Admin)

Overview

This article explains how to change the Grade Method of an in-use EAP Baseline in KS3/4

Where the EAP Baseline is in use within an EAP, changing the Grade Method isn't as simple as selecting Edit from KS2 / EAP > Baselines. When you do this, the following message displays: Cannot edit - subject in use in an EAP or Baseline Group. Instead, you must delete any EAP(s) using the Baseline, change the Grade Method used by the Baseline, then recreate the EAP(s).

Prerequisites

You must be an administrator.

Instructions

Follow the steps below to change the Grade Method of an in-use EAP Baseline, for example, editing the Grade Method for an English Baseline, to the 9-1 (for Baselines) Grade Method:

  • Identify which EAPs use the Baseline:
    1. Select DATA.
    2. Select KS3/4.
    3. Select the Cohort.
    4. Select KS2 / EAP.
    5. Select EAP.
    6. From the EAP List, identify which EAPs use the Baseline

      In the example, the English Baseline is used by 3 EAPs, English, English Language, and English Literature.

  • Ensure EAPs that use the Baseline are not in use on the Matching page:
    1. Select Grades.
    2. Select Matching.
    3. From the Matching page:
      1. Select Edit.
      2. For each Subject using the EAPs, select the existing EAP, and change it to None. The Subject(s) will turn grey. In this example, the three subjects English, English Language, and English Literature are changed to None

        Ensure you review the Historical qualifications at the bottom of the page as well as the Current ones, changing as required. 

      3. Select Save Changes.
  • Delete any EAPs using the Baseline:
    1. Select KS2 / EAP.
    2. Select EAP.
    3. From the EAP List, select the red X icon in the actions column next to the EAPs you want to delete:

      The red X icon will only show if the EAP is not used by any subject on the Matching page. If it is still greyed out, review the Matching page again and ensure that no qualifications have these EAPs selected (see Step 2 above).

  • Update the Baseline Grade Method:
    1. Select KS2 / EAP.
    2. Select Baselines.
    3. From Baseline Management, select Edit:
    4. Update your Baseline Grade Methods as required:
    5. Select Save.
  • Recreate the EAPs previously deleted:
    1. Select KS2 / EAP.
    2. Select EAP.
    3. Select Create EAP.
    4. Create the EAPs, exactly as they were. For help see Sisra Analytics: KS3/4 - How do I create EAPs? (Admin). If you need to enter grades within the rows of these EAPs, also refer to KS3/4: Editing and Defining EAP Pathways (Admin).
  • Update the Qualifications with the new EAPs:
    1. Select Grades.
    2. Select Matching.
    3. From the Matching page:
      1. Select Edit.
      2. For each Subject you previously changed, change EAP from None to the appropriate newly created EAP:

      3. Ensure the Included toggle is:
        1. Set to Yes for all qualifications using the EAPs that were previously included. 
        2. Set to No for those qualifications that were not previously included. In the example, the Historical English qualification was not initially included, therefore, Included is set as No.
      4. Select Save Changes.
  • Ensure your changes are reflected in your reports:
    1. Republish KS2 / EAP data (see Sisra Analytics: How do I publish KS2 / EAP data for KS3/4? (Admin)).
    2. Republish your Grades (see Sisra Analytics: How do I publish Grades (Data Sets and Assessment Collections) in KS3/4? (Admin)).

Outcome

The Grade Method is changed as required, and your reports will be updated to reflect the change.
