In Sisra Analytics, you can only copy an EAP if the EAP you're copying from has a baseline that uses the same Grade Method as the EAP Baseline you want to select in your new EAP. Otherwise you'll either see the below message:
"There are no baselines of the same type as the selected EAP to copy in the cohort. Please select another EAP or configure suitable baselines via Baseline Management."
Or alternately, when trying to copy and select your new baseline you will not see the EAP Baseline for the EAP you're trying to copy.
There are a couple of reasons why this might be the case, and we've listed the steps to fixing these below. I will be referring to the cohort being copied from as the Copying Cohort, and the cohort you're copying to as the Current Cohort.
Case 1: Editing the EAP Baselines to use the same grade method as the Copying Cohort
Case 2: Uploading new EAP Baselines that use the same grade method as the Copying Cohort
Case 3. Creating New EAPs From Scratch
Case 1: Editing the EAP Baselines to use the same grade method as the Copying Cohort
As your baselines need to use the same grade method as your Copying Cohort's baselines, the first step to try is to see if you can edit the grade method of your Current Cohort's baselines to match the Copying Cohort. In my below example I'll be looking to copy a GCSE 9-1 qualification's EAP from my 24/25 (Current Yr 11) cohort into my 25/26 (Current Yr 10) cohort.
First you'll need to navigate to your Copying Cohort's KS2 / EAP > Baselines page. In the below example this is, DATA > KS3/4 > 24/25 (Current Yr 11) > KS2 / EAP > Baselines. Here you should see the EAP Baselines are using the '9-1 Sub Grades' grade method.
However, if you navigate back to your Current Cohort's KS2 / EAP > Baselines page - in my example, DATA > KS3/4 > 25/26 (Current Yr 10) > KS2 / EAP > Baselines, you should see these baselines have been set up using the '9-1 (for Baselines)' grade method.
Now if the grade method from your Copying Cohort can be selected for the baselines in your Current Cohort, then on this page for your Current Cohort, you'd need to click 'Edit' and change the Grade Method to the Copying Cohort's method. In this case I will be changing the '9-1 (for Baselines)' method to the '9-1 Sub Grades' method. As whole grades can be uploaded and used within grade methods that use subgrades, this won't cause any issues.
If you change the grade method and are then met with orange grade not in method warnings for all of your grades, it may be that the baselines uploaded in this cohort aren't compatible with the grade method used in the Copying Cohort. In this case you have two options:
- You can either reupload these EAP baselines in the format used in your Copying cohort, in which case move on to Case 2. You can do this if you feel you wouldn't lose any valuable analysis by editing these grades to match the grade method in the Copying Cohort:
- Or if you need these new baselines to use their existing grade method, you can move to Case 3, which will require you to create new EAPs for these baselines, and abandon copying from another cohort entirely.
| If you are unable to edit this EAP's Grade Method due to it being already in use in an EAP, you can follow our KS3/4: Changing an In-Use EAP Baseline's Grade Method (Admin) guide to fix this |
Case 2: Uploading new EAP Baselines that use the same grade method as the Copying Cohort
If the only baselines uploaded in the Current Cohort use a different grade method to the Copying Cohort, and can't be edited to match the Copying Cohort, then you will need to upload new baselines using the same grade method into the Current Cohort. In my below example I'll be looking to copy a GCSE 9-1 qualification's EAP from my 24/25 (Current Yr 11) cohort into my 25/26 (Current Yr 10) cohort.
Here again you should see my Current Yr 11 cohort uses '9-1 Sub Grades' baselines:
However, the grades uploaded in my Current Yr 10 cohort use a different incompatible grade method - The 'Mastery' grade method.
As these baselines can't be edited to use the Copying Cohort's grade method, we'll need to upload new grades to use as baselines that use the 9-1 Sub Grades method. There's a couple steps that will make this a little easier to handle:
First, go to the KS2 / EAP > Baselines page in your Current cohort (in my case DATA > KS3/4 > 25/26 (Current Yr 10) > KS2 / EAP > Baselines), click 'Edit' and change the names of your previous baselines to distinguish them from the new baselines we are uploading. In my example, as these relate to KS3 grades I will add 'KS3 ' to the name of these baselines - although you can edit these in any way you see fit - and click 'Save'.
Then upload a new file of Baselines to your Current Cohort in KS2 / EAP > Uploads. When uploading these, and you land on the page headed 'Confirm Upload Qualification Names', ensure that these baselines are all set up as 'New' to distinguish them from the previous EAPs. You can follow our KS3/4: Preparing and uploading EAP Baselines (Admin) guide for help with this.
Once the new baselines are uploaded, we don't recommend deleting the previous baselines, especially if these are in use in previous EAPs - as this can cause issues preventing publishing.
Then you can navigate to KS2 / EAP > Baselines, click 'Edit' and set these new baselines up to match the grade methods in your Copying Cohort.
If like in the first case, you see lots of orange Grades Not In Method for these baselines, then it's likely that the baselines being uploaded don't match the baselines in your Copying Cohort. If this is the case you would need to click 'Edit' and select the appropriate grade method for your baselines. If these don't match your Copying Cohort, you would need to move to Case 3, which is abandoning copying your EAPs from another cohort, and creating new ones.
Case 3. Creating New EAPs From Scratch
If there is no way to use the same grade methods as your Copying Cohort's baselines, then you will need to create new EAPs from scratch. This may be required if the baselines in the Current Cohort have changed format to the Copying Cohort. For example, if a qualification is of a different grade type in this cohort, changing from GCSE to BTEC, then this won't be able to be set up in the same way as your Copying Cohort.
In the example below you can see that in my Copying Cohort, Drama is a GCSE 9-1 qualification:
However, in my Current Cohort, Drama has changed to a BTEC qualification.
In this and other cases where your Copying Cohort's setup can't be matched exactly for a qualification, or for multiple qualifications, you wouldn't be able to copy from this cohort's EAP. As such you would need to create a new EAP from scratch here. You can follow our KS3/4: Creating EAPs (Admin) for help in doing this.
