Sonar Tracker: How can I copy and paste a report into Excel?

Overview

This article explains how best to copy tabular content from a report in Sonar Tracker into Microsoft Excel. This is useful for analysing table-based data from a Sonar Tracker report such as:

For each child, summative or test score data for multiple terms - one subject at a time
For each child, summative data for two chosen terms for subjects chosen -  multiple subjects
For each child, summative assessment for the chosen term as well as their target  for the chosen term- multiple subjects
For cohort analysis of statutory Teacher Assessments and Tests (summary with contextual groups available)

in Microsoft Excel. *Choose the report that best meets your data needs.

Prerequisites

  1. License for Microsoft Excel / Microsoft 365.

Instructions

From the report in Sonar Tracker, where you would like to copy the data from:

  1. Select the data from the table that you want to copy in the Sonar Tracker report:

    When doing this don't select all of the contents of the last cell - stop just before the end. If you do, you may have formatting issues when the content is pasted into Excel. 

  2. Right-click your selection and select Copy (your menu may look different to the one shown, depending on the browser you are using):
  3. In Excel, open a blank workbook:
  4. Select the whole sheet (by selecting the triangle between A and 1):
  5. Select General and change to Text:

  6. Select cell A1:
  7. Right-click on the sheet in the selected area, then select the Match Destination Formatting (M) option:
  8. Manually add any missing content from the last cell in your report into Excel. 

Outcome

The report content is successfully copied from Sonar Tracker into Microsoft Excel ready for analysis and formatting. All content will be structured into columns. Images and formulae will not be copied, only text values.

Analyse and format the content in Excel as required:
