Sisra Analytics: How do I update a EAP baseline grades after the EAPs have been created? (Admin)

This article explains how to replace an EAP's baseline after it has been created. If you're using target grades (or similar) as EAP baselines for grouping students onto each pathway for On Track analysis in reports, update them regularly to ensure they reflect the correct grades.

When updating your baselines, upload your new baselines before removing the previous grades. If you don't, it can cause issues within your EAPs and will stop you from publishing the KS2/EAP / KS4/EAP areas.

Prerequisites

  • You must be an administrator.

Instructions

Follow the steps in the appropriate tab for your Key Stage to update your EAP baselines:

  • Follow these steps to update your KS3/4 baselines:
    • Extract your EAP baselines, including Student ID, Student Name, Qualification, and Grade information (in either broadsheet or list format) from your MIS. Save this in a Microsoft Excel-compatible format, for example, .csv, .xlsx, .xls or .xml.
    • After you have downloaded your KS3/4 target grades from your MIS, upload them into Sisra Analytics:
      1. Select DATA.
      2. Select KS3/4.
      3. Select the Cohort.
      4. Select KS2 / EAP.
      5. Select Uploads.
      6. Select Upload Grade Files from the KS2 / Baseline Uploads window:
      7. Select an upload type (Broadsheet or Grade List). If you’re only looking to update a handful of subjects for the cohort, we still recommend uploading a file including all baseline subjects.
      8. Enter the row that contains the qualification titles.
      9. Select Choose file, locate your file and upload it.
      10. Enter a File Title.
      11. Select Upload. For further information, see Sisra Analytics: KS3/4 - Preparing and uploading EAP Baselines (Admin).
    • During the upload, if your file contains any qualifications that don't already exist on your baseline management page, the Confirm Upload Qualification Names opens. Select New to create the qualification as a new, separate baseline subject, or select an existing qualification to merge them.

      After mapping all subjects, select Complete the Upload.

    • After your new baselines have been uploaded, delete the previous baselines file:

      1. Select the red X in the Actions column next to the previous baseline file:
      2. When prompted, select Delete to confirm your choice:

      Upon successful completion, the box shows the message, "We have identified no baselines which would be affected by the deletion of this upload."

      If you try to delete a baseline before uploading a new file, you will be warned which baselines will be affected if you delete the file. Any missing baselines in the new file will also be highlighted. Ensure you upload a file including the baselines highlighted with "This baseline is currently in use in an EAP", as this will affect existing EAPs and stop you from publishing:

    • If you selected New on the Confirm Upload Qualification Names page to upload new baseline subjects, set these up so they are available when creating an EAP.

      1. Select DATA.
      2. Select KS3/4.
      3. Select the Cohort.
      4. Select KS2 / EAP.
      5. Select Baselines (opens the Baseline Management window).
      6. Select Edit.
      7. Complete the Grade Type and associated columns as needed for the baseline subjects.
      8. Select Save.

      You will now be able to create EAPs using these baselines.

    • After uploading your new baselines, publish them:
      1. Select KS2 / EAP.
      2. Select Publish KS2 / EAP.
  • Follow these steps to update your KS5 baselines:
    • Extract your EAP baselines, including Student ID, Student Name, Qualification, and Grade information (in either broadsheet or list format) from your MIS. Save this in a Microsoft Excel-compatible format, for example, .csv, .xlsx, .xls or .xml.
    • After you have downloaded your KS5 target grades from your MIS, upload them into Sisra Analytics:
      1. Select DATA.
      2. Select KS5.
      3. Select the Cohort.
      4. Select KS4 / EAP.
      5. Select EAP / Baselines.
      6. Select Uploads.
      7. Select Upload Grade Files from the Uploads for EAP / Baselines window:
      8. Select an upload type (Broadsheet or Grade List). If you’re only looking to update a handful of subjects for the cohort, we still recommend uploading a file including all baseline subjects.
      9. Enter the row that contains the qualification titles.
      10. Select Choose file, locate your file and upload it.
      11. Enter a File Title.

You have replaced the baseline for your EAP(s).
