Renaming a CTF to import into MIS

Overview

This article explains how to rename a Common Transfer File (CTF) so it imports into Juniper MIS successfully after you have downloaded it from a third-party MIS or from a Department for Education (DfE) website, for example GIAP or NCA Tools.

For a CTF to import, the filename must follow the DfE naming convention. If your file doesn't, you must rename it before you try to import it.

Understand the CTF naming convention

CTF filenames uses this format:

LLLSSS1_CTF_LLLSSS2_num.xml

Where:

  • LLLSSS1 is the DfE Number of the sending school.
  • LLLSSS2 is the DfE Number of the destination school.
  • num is a number that increases each time a file is created for that school.

For example, 9165402_CTF_8171234_003.xml is the third CTF created by school 9165402 for school 8171234.

When you create and import a file from a third-party MIS, or from a DfE website, your school is both the sending and the receiving school. The filename format is then:

LLLSSS1_CTF_LLLSSS1_num.xml

Prerequisites

  • You have downloaded the CTF to a folder on your computer.
  • You know your school's DfE Number. This is your Local Authority (LA) number followed by your school number.

Rename a CTF

Follow these steps to rename your CTF. Select the appropriate tab for your device:

  • Follow these steps to rename the file using a Windows computer:
    1. Open File Explorer, go to the folder you downloaded the file to, and find the file.
    2. Right-click the filename and select Rename.
    3. Type the new name as LLLSSSS_CTF_LLLSSSS_001, where LLL is your local authority number and SSSS is your school number.
    4. Press Enter, or select a blank area of the window, to confirm the new filename.
  • Follow these steps to rename the file using an Apple computer:
    1. Open Finder, go to the folder you downloaded the file to, and find the file.
    2. Hold down Control and select the filename, then select Rename.
    3. Type the new name as LLLSSSS_CTF_LLLSSSS_001, where LLL is your local authority number and SSSS is your school number.
    4. Press Return, or select a blank area of the window, to confirm the new filename.

For example, a school with the DfE number 0010115 names the file 0010115_CTF_0010115_001.

Keep .xml at the end of the filename. If your computer hides filename extensions, you don't need to type it.
