People First: How do I adjust an employee's annual leave entitlements?

Overview

This article explains how to make adjustments to an employee's annual leave entitlement.

Only full-time, 52-week support staff have bookable leave.  Their entitlement is set up against their employment record.

Additional leave is granted and will need to be manually added for a variety of circumstances, for example:

  1. In accordance with their terms and conditions (for example, completion of 5 years’ service part-way through the year).
  2. Agreed Carry Over of unused leave from the previous year.
  3. Accrued Leave following a period of sickness or family leave.

If an employee joins or leaves your organisation part-way through the leave year, the system will automatically pro-rate their leave entitlement. You do not need to make any manual adjustments.

Instructions

Follow these steps to manually adjust an employee's annual leave entitlement:

  1. Select Org chart:

  2. From the Organisation Chart, select the employee whose annual leave entitlement you want to adjust.
  3. From the employee's Profile, select the Absence & Calendar tab:
  4. Select Allowance Details:
  5. From Allowance details, select Add an adjustment:

  6. From Adjust allowance:

    1. Select the Reason for the adjustment from Carried forward, Discretionary, Holiday bought, Holiday sold and Time-off in lieu.
    2. Enter the number of FTE days you want to make the adjustment by in By how many days?
    3. If the employee works part-time hours check Is this pro-rated.
    4. Select Create.

Outcome

The employee's annual leave entitlement is updated to reflect the change that you have made, and a message indicating the change is displayed:

If the leave adjustment is made for completion of service, for example, 5 years, the employees standard annual entitlement must be adjusted for the start of the next leave year.
