Overview
This article contains detailed instructions for our suggested method of archiving newsletter files attached to a newsletter page on your website, such as monthly, half-termly, or termly newsletters saved as PDFs or Word documents.
Prerequisites
- You must be an Administrator.
Instructions
Follow the steps below to archive your newsletters. The instructions cover initial set up and how to undertake periodic archiving, for example, yearly, or termly.
Initial archiving of newsletters
Follow these steps to archive newsletters for the first time:
- Create a new newsletter page for the new period (year / term):
- Navigate to the section of your website where your newsletters page is located.
- Select Create.
- Select Page.
- Enter a title for the new page that will replace your existing newsletter page, for example, School Newsletters:
- Select Save.
- Select Save Draft.
- Follow these steps to make the original page a subpage:
- Select Home.
- Select Sitemap View:
- In the Sitemap, expand the section where your original and new newsletter pages are located:
- Drag and drop the original page onto the new page so that it becomes a subpage:
- When the The requested item has been moved message is displayed, close the Sitemap.
- Follow these steps to copy the text from original page:
- Navigate to the original newsletter page.
- Select all the text on the page.
- Either right-click the text and select Copy, or select CTRL + C to copy the text:
- Select Save.
- Select Save Draft.
- Follow these steps to paste the text you've just copied into the new main newsletters page:
- Navigate to the new newsletter page.
- Select the line This page is currently awaiting content.
- Select CTRL + V to paste the text from the old page onto the new newsletter page:
- Select Save.
- Select Save and publish this item. The new page is ready to update with any newsletters for the new period.
- Follow these steps to update the original page as an archive newsletter page:
- Navigate to the original newsletter page.
- Update the page:
- Change the title of the page to reflect that it contains old newsletters, for example, Newsletters 2024/2025.
- Delete the old text and replace it with some new text indicating the contents of the page, for example, Select an old newsletter to view it.
- Select Save.
- Select Save and publish this item. The old page has now been updated as an archive newsletter page that can be accessed from the new newsletter page.
Subsequent archiving of newsletters
Follow these steps for future archiving of newsletters after you have previously created an archive of your newsletters during a past period:
- To duplicate, move and rename the latest newsletter page to create the latest periodic archive page:
- Select Home.
- Select Sitemap View:
- Select Start Edit:
- Locate your newsletter pages.
- Select the page that includes the latest newsletters (the one at the top of the hierarchy):
- Right-click the latest newsletters page and select Duplicate to create a copy:
- When prompted, select Duplicate to confirm the duplication:
The duplicate page will be created and displayed in the sitemap. The page name is appended with (Duplicated): - Drag and drop the new (Duplicated) page under the main newsletters page so that it becomes a subpage at the top of the list:
- Right-click the new (Duplicated) page and select Rename:
- Enter a suitable name for the latest archive page, for example, Newsletters 2025/2026:
- Select Visit to open your archive page.
- To update the content of the newly created archived page (for example, Newsletters 2025/2026):
- Select Edit.
- Delete the old body text and replace it with some new text indicating the contents of the page, for example, Select an old newsletter to view it:
- Select Save.
- Select Save and publish this item. The old page has now been updated as an archive newsletter page that can be accessed from the new newsletter page.
- Follow these steps to prepare your main newsletter page for the next period by deleting an attachments:
- Navigate to your main newsletter page:
- Scroll down to the attachment area of the page.
- For each attachment on the page:
- Roll over the attachment.
- Select X to remove the attachment. The attachment will become greyed-out:
- After all the attachments have been removed, select Save:
- Select Save and publish this item. The main newsletter page has now been saved with the old attachments deleted.
- Navigate to your main newsletter page:
Outcome
Your main page newsletter page is ready to start adding new newsletters throughout the next half-term / term / year. Meanwhile, previous newsletters have been added to a newly archived page:
