Sonar Tracker: Primary Pupil Overview Report

Sonar Tracker

Overview

This article explains the Primary Pupil Overview Report, detailing its purpose, how to access it, the information it includes, and its controls.

Purpose

The Primary Pupil Overview Report gives you a complete picture of an individual pupil's attainment and progress on a single page. For the selected pupil it brings together:

  • Their photo (or initials), Year, Class, Attendance and contextual information (for example, SEN, Pupil Premium or EAL).
  • Their statutory assessment outcomes (for example, EYFS, Phonics, Multiplication Tables Check, Key Stage 1 and Key Stage 2).
  • Formative, Summative, Target, Test Score and Projection information for each selected subject, across the selected Assessment Point(s).
  • A breakdown of their formative objectives by strand, showing which objectives they have achieved and which they are still working towards.

You can step through the pupils in the selected Year Group / Class(es) one at a time, and export a PDF or Word document for one pupil, several pupils or the whole group in one go.

This report is about a single pupil. It is different from the Pupil Overview report in the Analysis area, which shows contextual counts of pupils by group.

Using the report, you can:

  1. See how an individual pupil is performing across all of their subjects, using a variety of assessment types side by side.
  2. Triangulate a pupil's formative, summative, test and statutory outcomes.
  3. Check whether a pupil is on track to meet their targets and End of Year Projections.
  4. Identify the specific objectives and strands where a pupil would benefit from extra support or challenge.
  5. Review the impact of support or interventions over time.
  6. Prepare for parental consultations (such as parents' evenings) and pupil progress meetings, by exporting a one-page summary for each pupil.

Opening the page

The Single Pupil Overview report is opened one of two ways:

  • Either by selecting a pupil's name on a report to drill down into a further level of detail.
  • Or through the Reports page menu. After selecting the Primary Pupil Overview Report, you will be prompted to choose which pupils you wish to include. Select a Year Group and / or one or more Class(es), then select Load Report:

The report opens on the first pupil in the selected group. Use the pupil selector (see Controls) to move between pupils.

Report Views

The report has two tabs: Overview (the default) and Formative Objectives. The layout of the Overview tab depends on how many Assessment Points you have selected.

Overview - single Assessment Point

By default, when the report loads, one Assessment Point is selected and the Subjects filter is set to Reading, Writing and Mathematics. With a single Assessment Point selected, all subjects are condensed into one table headed All subjects, with one row per subject and one column per assessment type:

Overview - several Assessment Points

When you select more than one Assessment Point, each subject is shown in its own card. Each card has one column per Assessment Point and one row per assessment type, so that you can see how the pupil has progressed over the year:

Formative Objectives

Select the Formative Objectives tab to see, for each subject, how the pupil is doing against each strand and objective:

Leavers are not displayed by default (but can be viewed by selecting the appropriate filters). See Sonar Tracker: How do I filter pupils?

Elements

Field Name Description
Pupils Number of pupils in the selected Year Group / Class(es) (includes those without assessment data). These are the pupils you can move between using the pupil selector.
X Pupils With No Assessment Number of pupils who have no assessment data.
Pupil card

Shown at the top of the Overview tab. It contains:

  • The pupil's photo. Where no photo is stored, their initials are shown instead.
  • The pupil's full name.
  • Year - the pupil's year group.
  • Class - the pupil's class (where they have one).
  • Attendance - the pupil's attendance percentage (where attendance data is held).
  • Contextual tags, for example, SEN, Pupil Premium or EAL. These can be hidden by deselecting Contextual Information in View Options.
Statutory Assessment

Shown next to the pupil card. Lists the pupil's statutory outcomes, grouped by stage, for example, EYFS, Phonics, Key Stage 1 and Key Stage 2. Each outcome is shown as a coloured result (for example, Met Expected Standard), and a key at the top of the card explains the colours used.

  • For Key Stage 1 and Key Stage 2, outcomes are listed.
  • Where an outcome has no result, No data available is shown.
  • The Year 2 Phonics check is only shown when the pupil has a result for it (for example, because they re-sat the check in Year 2).
  • Where the pupil has no statutory outcomes at all, No statutory assessment outcomes recorded is shown.

You can hide this card by deselecting Statutory Outcomes in View Options.

Formative key Explains the colours used in the formative bars: Not taught (grey), Taught (red), Working towards (yellow), Achieved (green) and Greater depth (purple).
Summative and Targets key Explains the colours used for the Summative, Target, Test Score and Projection results. The key is built from your school's own age related expectation (ARE) categories, and only includes the categories that appear in the pupil's results.
All subjects table

Shown when a single Assessment Point is selected. The heading shows the Assessment Point, for example, All subjects — Summer 2, with the note One period selected, so subjects are condensed into a single table.

The table has one row per subject (with a Subject column) and a column for each assessment type that holds data: Formative, Summative, Target, Test Score and Projection. These are described below.

Subject cards

Shown when more than one Assessment Point is selected. There is one card per subject, headed by the subject name. Each card has an Assessment type column, followed by one column for each selected Assessment Point.

Only subjects that the pupil has data for are shown. Rows (or columns, in the All subjects table) are only shown when the pupil has data of that type, and when that type is selected in View Options.

Formative

A colour banded bar showing the proportion of the subject's objectives that are Not taught, Taught, Working towards, Achieved and at Greater depth, followed by the percentage of objectives achieved or higher, for example, 65% achieved or higher.

The percentage is calculated based on all objectives for the subject (those assessed and those not assessed). Objectives that have not been assessed are included in the grey part of the bar.

Summative The pupil's Summative assessment for the Assessment Point, shown as a short code (for example, EXS), in a lozenge coloured according to the Summative and Targets key.
Target The pupil's Target for the subject for the Assessment Point, in a lozenge coloured according to the Summative and Targets key.
Test Score Any test scores for the subject during the Assessment Point, shown as the score achieved out of the maximum score (for example, 24/30). Where the score has an age related expectation band, it is shown in a coloured lozenge (hover over it to see the band name); otherwise it is shown as plain text.
Projection

The pupil's End of Year Projection for the subject, in a lozenge coloured according to the Summative and Targets key.

There is one projection per subject for the year, so the same projection is shown under every Assessment Point column in the subject cards. See Sonar Tracker: What's the difference between an End of Year Projection and an End of Year Target?

Formative Objectives - subject card

On the Formative Objectives tab, there is one card per subject. The card header shows the subject name and the Achieved + Greater Depth percentage for the whole subject.

The card uses the most recent of the selected Assessment Points at which at least one objective has been assessed for the pupil.

Where the pupil has no formative objectives recorded for any subject, No formative objectives recorded is shown.

Strand

Each strand in the subject is listed with:

  • The strand name.
  • A colour banded formative bar for the strand.
  • The percentage of the strand's objectives achieved or higher.
  • An objective count, for example, 3 / 5 objectives. The first number is how many objectives are currently shown (based on the Objective statuses selected in View Options); the second is the total number of objectives in the strand.

Strands with no objectives are not shown. The strand's bar, percentage and total always include every objective, whichever statuses you choose to show.

Objectives Under each strand, the individual objectives are listed, grouped by the pupil's status against them, with the highest status first: Greater Depth, Achieved, Working Towards, Taught and then Not Taught. Each group is colour coded to match the formative bar.

Controls

Control Description
Filters

Select to filter pupils contextually, including their ethnicity. Select Save to apply your choices, or Clear all to remove them. See Sonar Tracker: How do I filter pupils?

Clear all does not clear the selected Year Group.

Assessment Point

Select one or more Assessment Points to show in the report. Selecting a single Assessment Point shows the All subjects table; selecting several shows a card per subject.

All the selected Assessment Points must be in the same Academic Year. If you select an Assessment Point from a different Academic Year, any Assessment Points from the previously selected year are deselected.

When you change to an Assessment Point in a different Academic Year, the Band is automatically updated to match the band the pupil was (or will be) in during that year.

Schools often choose to align their Assessment Points to terms, but this is not always the case. The values displayed may differ based on your school's assessment processes.

Band The Band used for the pupil's assessments. By default, this is set to the Band for the selected Year Group, for example, Band 6 for Year 6. This value can be changed as needed for pupils working in a lower / higher Band than the default one for their Year Group.
Subjects Select the subjects to include in the report. By default, Reading, Writing and Mathematics are selected.
Pupil selector

Shows the name (and photo or initials) of the pupil currently displayed. To view a different pupil, either:

  • Select the left / right arrows to move to the previous / next pupil, or
  • Select the pupil's name to open the list of pupils, then select a pupil. You can type in Search pupils... to find a pupil quickly.

If you change the filters and the pupil you were viewing is no longer included, the report returns to the first pupil in the list.

Overview / Formative Objectives Select a tab to switch between the Overview and Formative Objectives views.
View Options

Select to choose what is shown on screen. Changing these options does not change the data in the report, only what is displayed.

  • Show on this report - select or deselect Contextual Information, Statutory Outcomes, Formative, Summative, Target, Test Score and Projection. All are selected by default.
  • Objective statuses - only shown while the Formative Objectives tab is selected. Select or deselect the objective statuses (for example, Achieved or Working Towards) whose objectives you want to list under each strand. Objectives that are not taught are always shown.
  • Formative Objective Subjects to Show - only shown while the Formative Objectives tab is selected. Select or deselect the subjects whose cards are shown on the Formative Objectives tab. Only the subjects selected in the Subjects filter are listed.

The hide (red cross) icon on a Formative Objectives subject card.

Shown next to the subject name on each Formative Objectives subject card. Select to hide that subject's card. To show it again, select the subject under Formative Objective Subjects to Show in View Options.
Export

Select to export the report as either a PDF or Word file, for one or more pupils. When Export Report opens:

  1. Select PDF or Word, based on what you want to Export as.
  2. Select the pupils to include. The pupil currently displayed is selected by default. Use Select all to select every pupil, or type in Search pupils... to find a pupil. Each pupil's year group and class are shown next to their name.
  3. Select what to include:

    • Overview - the sections to include (Contextual Information, Statutory Outcomes, Formative, Summative, Target, Test Score and Projection).
    • Formative Objectives - the objective statuses to list under each strand.
    • Subjects - the subjects to include in the Formative Objectives section.

These options start with the same selections as View Options, but changing them here does not change what is shown on screen.

  4. Optionally, select Black & white printing. In a black and white PDF, the formative bars are not shown, as their colours cannot be told apart.
  5. Select Export to PDF or Export to Word (based on your previous selection).

A message shows the progress as each pupil is added. A single file is created containing both the Overview and Formative Objectives information, with each pupil starting on a new page. In the PDF, each page footer shows the pupil's name and page number, for example, Jane Smith (Page 1 of 2). In the Word file, the subject information is always shown as a separate table per subject. Your device saves the file to its downloads folder. Depending on your device settings, the file may also open automatically.

There is no Print option for this report. To print it, export it as a PDF or Word file, then print the downloaded file. See Sonar Tracker: How do I print a report?
