Sisra Analytics: What do the Health Check messages mean when publishing KS5 grades, and how do I fix them? (Admin)

Overview

This article explains the meanings of the data set or assessment collection Health Check results when publishing KS5 grades, what each result means, and how to resolve any issues that stop you from publishing.

Health Check Outcomes

The outcome of each set of checks is displayed to the right of Collection, Headlines and MAT Contribution in the Health Check window that is displayed when you first select Publish:

Select View Details to view a Health Check Details table that lists the check outcomes.

Where a Health Check Failed, you will be prevented from publishing until the issue is resolved. Where information or warnings are flagged, reports can be published, but fix any identified problems to maintain accuracy.

Health Check Details

Select a column in the Health Check Details table to find out more:

  • Pass/Fail column

    Coloured indicators (Green / Amber / Red /Blue) are displayed in the Pass/Fail column, summarising the status of each check:

    Four indicators are used:

    Pass/Fail Meaning

    Pass. No issues were found; the check has been completed successfully.

    Warning. An issue has been found; it’s recommended that you fix it.

    Fail. An issue has been found; you must resolve it before publishing the data set.

    Information. Notice about data differences or missing optional data, for example, if you do not use MAT Dashboard, disregard any related checks. 

  • Data Check column

    The Data Check column details the issues that have been identified.

  • Area column

    The Area column allows you to quickly navigate to the affected area to resolve any issues.

  • Icon column

    The Icon column shows the type of issue. Issue descriptions and resolution links are listed in the section below.

    Pass/Fail Data Check Description and resolution links

    This failed check indicates that at least one grade uploaded within this data set is not supported by the grade method set in the EAP selected on the Matching page.

    mceclip8.png Grade with Missing Student Data

    This failed check indicates when one or more students with a grade uploaded doesn’t have any student data imported using the same student ID within this data set.

    Sisra Analytics uses the student ID to link the appropriate student to the corresponding grades, so it is important to ensure that the IDs used are consistent throughout all uploads.

    mceclip8.png Subgrade Not Valid in this Data Set

    This failed check onlys appear within the Exams data set and indicates that at least one subgrade has been uploaded for a qualification. Any students with a subgrade uploaded within the Exams dataset will be highlighted in red with Subgrades are not valid in this dataset and will need amended. This is due to subgrades not being officially awarded by the DfE.

  • Headlines

    Pass/Fail Data Check Description and guidance / resolution links
    mceclip7.pngmceclip8.png Invalid Core Baseline

    Sisra Analytics checks all your core baselines for any invalid values. For KS4 APS GCSE and KS4 APS All, Analytics expects average A8 points to be imported, whilst for Prior English and Maths, the relevant years’ challenge points are expected.

    If publishing the Exams data set, the mceclip7.png(warning) becomes a mceclip8.png (fail) and stops you from publishing.

    mceclip2.png Size mismatch between qualification and assigned VA national data This information message appears if any qualifications have been assigned manually in your Value Added National Data page where the size of the qualification selected differs from that of the qualification in your Matching page.
    mceclip2.png Official VA National Data not in use

    This information message highlights that the data selected on the Value Added page is not the official data for this cohort, but official data is available. For example, when working with the 24/25 KS5 Leaver’s cohort, you should use the 2025 Amended data. If you use data from a different year, the information message is displayed as the figures won’t align with DfE calculations.

    mceclip2.png No valid values for required KS4 APS baseline

    This information message is displayed when specific KS4 core baselines (KS4 APS GCSE or KS4 APS All) have not been imported for the cohort. Since these are needed to calculate Value Added, the figures won't appear in the published report.

    mceclip2.png No VA national data selected

    This information message is displayed when you have qualifications eligible to be included in Value Added calculations, but have not selected VA Data in the GRADES > National Data > Value Added page.
