Sisra Analytics: Grades Management - How do I fix the Grade Not in Method warning in KS5? (Admin)

Overview

This article explains the Grade Not in Method warning icon you may encounter when uploading grade files into Sisra Analytics for KS5, and how to resolve it. As part of the upload process, Sisra Analytics checks the grades you upload and flags any warnings.

You won't be able to publish your reports until the Grade Not in Method issue is resolved.

Understanding the warning

The Grade Not in Method warning icon indicates that at least one student has a grade uploaded in that qualification, which does not match the format defined in the grade method within the selected EAP.

To view the specifics of the warning:

  1. Hover over the warning icon to see the number of grades/students affected.
  2. Check the EAP and Grade Method columns to see what is currently being used. 
  3. To view the details of the students affected, select the value in Grades Count.

Resolution

  1. Confirm that the selected Grade Method is accurate:  
    1. If correct, move to Step 3.
    2. If not, go to Step 2 to review the EAP setup.
  2. Confirm the EAP is correctly selected:
    1. If the EAP is correct but the Grade Method isn’t:
      1. Open KS4 / EAP > EAP / Baselines > EAP.
      2. Select the EAP name.
      3. Select Edit EAP.
      4. Choose the correct Grade Method from Assessment Methods.
      5. Select Save.
    2. If the EAP is not correct:
      1. Navigate to Grades > Matching.
      2. Select Edit.
      3. Select the correct EAP.
      4. Select Save Changes.
  3. Confirm that the grades are uploaded in the same format expected in the method:
    1. Select the Grades Count.
    2. Compare the uploaded values with those listed under CONFIG > Grade Methods > KS5 Methods.
    3. If formats match, the grade should be processed correctly. If not, proceed to Step 4.
  4. Add any missing Grade Values if needed, for example, additional fail grades (such as WT) or alternative upload values (such as Pass instead of P):
    1. If you don't need to add any missing Grade Values, move to Step 5. 
    2. If you need to add any missing Grade Values:
      1. Open CONFIG > Grade Methods > KS5 Methods.
      2. Select the Method Name.
      3. Select Reconfigure.
      4. Add your additional grades by following the onscreen steps.
  5. Amend any incorrect grades:
    1. For bulk updates, re-uploading a corrected file through Grades > Uploads, or
    2. If you only have a few grades that need amending, edit them manually. Open Grades > Grades Management. Select the Dataset and Assessment collection where applicable. Select the subject's Grade Count. Select Edit Grades. Enter the correct grade(s) and select Save.

Outcome

After saving your amendments, the problem is fixed. When you return to the Grades Management page, the warning icons will no longer appear.
