People First HR
Overview
This article explains how to view how far through their onboarding journey a new starter is, including which tasks they have completed and which are still outstanding. You can also amend the onboarding set-up and contact onboarders directly from this view.
Prerequisites
- Campaign Administrator or HR Administrator access is required.
Review progress
Follow these steps to check the onboarding status of a new starter:
- Select the menu icon in the top left-hand corner of the window.
- Select Onboarding.
-
In the Overview tab, you can see each person's onboarding journey alongside their outstanding and completed areas. The overall progress appears as a percentage:
-
Use the filters to view All, Completed, or Incomplete onboarders:
-
To email an onboarder, select the ellipsis (three vertical dots) next to their name and select Email:
This automatically opens a new email addressed to them.
If any items appear as Not configured in the document download or upload section, this means no documents have been added to that section of the journey assigned to that onboarder. The onboarder will not see those sections until documents are added to the journey.
View and amend onboarding set-up
Follow these steps to check or update the current onboarding configuration for a new starter.
- Select the menu icon in the top left-hand corner of the window.
- Select Onboarding.
- In the In progress tab, select the context menu next to the relevant onboarder's name.
- Select View onboarding set-up.
- Make any necessary changes, for example updating the first day location, then select Save.
Tips and best practices
If an onboarder with an upcoming start date still has outstanding tasks, the recruiter automatically receives a notification. Select the arrow in the notification to go directly to that onboarder's journey and review the outstanding items:
Check the Overview tab regularly in the weeks before a cohort's start date to catch any gaps early.
Once an onboarder completes all their tasks, they can revisit the portal at any time to review their information. Access is automatically removed on their start date, after which their People First employee profile is populated with the details they provided.
Next steps
After an onboarder reaches their start date, you can transition their account to a full employee account. See People First: How do I transition an onboarder to an employee in People First?
