People First HR
Overview
This article explains how to transition a new hire's account from an onboarder account to a full employee account in People First once they reach their start date. Because the person record is already created during onboarding, the transition only requires confirming a login email address and assigning the appropriate user roles.
Prerequisites
- HR Administrator access is required.
- The onboarder must have reached their official start date.
Transition an onboarder to an employee
Follow these steps to complete the transition:
-
Navigate to Administration / Users, or follow the link in the transition to employee notification:
-
Select the relevant user account:
-
Choose how the user will log in:
- Check Continue to use existing correspondence email to allow the user to log in with the email address they used during onboarding.
- Leave Continue to use existing correspondence email unchecked and enter a new address in the Correspondence email field if you want the user to log in with a different email address.
- Add and activate the appropriate user roles.
- Complete the transition to link the user account to the existing person record.
The onboarder is transitioned to an employee:
If you enter a new correspondence email address, it must be verified within 72 hours. The user must also activate their account within 72 hours.
Tips and best practices
Wherever possible, use the same email address the onboarder used during their journey to avoid the 72-hour verification requirement. If your organisation uses a standard format for employee email addresses, prepare the new address before the start date so you can complete the transition promptly.
Next steps
After completing the transition, the employee's People First profile will reflect the details they provided during onboarding. All documents from the onboarding journey are available under the Onboarding documents card on their profile, visible to HR administrators.
