Sonar Tracker: How do I include Leavers in my analysis?

Overview

This report explains how to include Leavers in your analysis. 

Prerequisites

  • You must have Leavers with data for the terms you are reporting.

Instructions

Either use the walk-through guide in Sonar Tracker or follow these steps to create a group that includes pupils who have left but need to be included in your reporting:

  1. Go to Groups.
  2. Select Add a new group.
  3. Enter a Group Name.
  4. Select a Group Type (always choose Group if you have an MIS).
  5. Select Create Group. Your new group is created immediately and is opened so that you can add pupils into it. At this stage, it is empty and you need to add pupils:
  6. Select the pupil(s) you want to include, using Active Filters as required to narrow the list of pupils:

  7. To choose Year Group(s) to include:
    1. Choose select all
    2. Select the green arrow to move them into the group.
    3. Select Active Filters to show Leavers (set the eye next to Leavers to green):

    4. Select the Leavers you want to include.
    5. Select the green arrow to move them into the group with the others.

      To remove pupils from the group, use the red arrow icon. The group is saved automatically after you move the pupil(s).

Outcome

After the group is created, load the report you want to use and select the Year Group.

  1. Select Active Filters
  2. Ensure the Leavers filter is grey (to include both Leavers and Non-Leavers):

  3. Select your group from the Groups filter

As this group contains Leavers, it may not hold indefinitely so you may need to edit the group, adding the Leavers each time you create the report, especially if it is a different day.
