MIS: How do I add / edit a pupil note?

Overview

This article explains how to record a note directly on a pupil's record.

You can also add notes to an individual pupil record from All Notes. For further information, see MIS: How do I add / edit a note for one or more pupils?

Instructions

Open the pupil's notes

  1. Select Pupils.
  2. Select All Pupils.
  3. Locate the pupil whose notes you want to open (use the search bar or filters to speed up this process as appropriate):
  4. Select the pupil's Full Name to open their record:
  5. From the pupil's record, select the Notes tab (or if it is not visible, select More, then Notes). 

    A notes icon is displayed next to the pupil's name in their record where a note is recorded:

    Where one or more Notes have been recorded, the number of notes is indicated on the tab:

Add / edit a note

  1. Select Create to add a new note. To edit an existing note, select the note from the Notes list, then select Edit.
  2. Enter / edit the note details:
    1. Select one or more Pupils.
    2. Optionally select one or more members of Staff.
    3. Optionally select one or more Contacts.
    4. Enter / edit the Subject.
    5. Select / edit the Category.
    6. Enter / edit the Description.
  3. Select Save.

When adding a note for one pupil, if you decide to add other pupils on the note, select them in the Pupil field. The note will be visible from their pupil record too.

Outcome

The note is saved, a message is displayed confirming the change / addition. The new / updated note appears in the pupil's Notes list:

The notes counter on the Notes tab is updated to indicated a note being added, for example, two notes is shown as 2:
