Using the drop down at the top select the 'People' focus area this will then provide an overview of existing staff, the option to add new staff members and to also make any changes to existing staff.
Adding a Staff Member
To add a new staff member, select the 'Add New' icon on the right hand side of the screen:
Next, fill out the relevant fields to create the staff member:
First Name and Last Name - Enter the staff member's first name and surname.
Email Address - This would be used when they log in and is where the email invitation would be sent to, so we'd recommend double checking this is correct before confirming.
Job Title (Optional) - Enter the relevant Job Title for the user.
Job Roles (Optional) - Select the option most relevant to the user's job role.
| Note: Fields with an asterisk must be populated. |
Once all fields are populated, click 'Create'.
Setting Permissions
You would then also need to set the user's permissions by clicking 'Permissions' on the left hand side under 'System Access'. This allows you to select whether this staff member should be able to create other staff member accounts, view embargoed reports, manage the MAT reports and manage permissions of other users.
Sending an Invitation
Once the user is created and you are happy with their permissions, you will need to send them an invitation so that they can log in to the MAT Dashboard. To do this click 'Invitations'.
If the email address is entered correctly, you can then click 'Send'.
From here you can also cancel the invitation if no longer needed, or resend it if the staff member has misplaced the original email.
Managing Staff Members
If you need to make changes to an existing staff member, click their name from the staff members list.
By clicking the System Access dropdown, you can make changes to their specific Permissions. When making changes to a user's permissions, ensure to click 'Save' to keep those changes.
| Note: For any users who should be able to see the reports during the Summer results embargo period, you should check to ensure the Insights Results Embargo Exemption permission is enabled. |
The User Accesses section allows you to remove access for that user, so that they are no longer able to access your trust's MAT Dashboard. This is useful for when they leave your trust.
Finally, you can check to see if a user has claimed their invitation to log in, or resend it if necessary by clicking into the Invitations section.
If you need to reinstate access for a previously removed user, you can do this by sending a new invitation in this area.
