Overview
This article explains the best approach to take when renewing or extending a Fixed Term Contract (FTC) to ensure that the contractual history and the written contract are accurately recorded.
Instructions
Open an accordion below, depending on whether an end date was or wasn't assigned to a job, to view the appropriate instructions for renewing or extending a Fixed Term Contract:
- Where an end date is not assigned to the Job, or it was made inactive, follow these steps to renew or extenda Fixed Term Contract:
- Make the employee a leaver from their current Job that is set up for the Fixed Term Contract:
- Follow the steps outlined in People First: How do I flag an employee as a leaver (single-role)?. When doing this:
- If the employee has multiple Job roles, instead of following Step 4 and Step 5 in the article:
- Select the appropriate Job from those listed.
- Select Key actions.
- Select Make this person a leaver from this job.
- In Reason, select Transfer.
- Do not check Make this job inactive on the leaving date?.
- If the employee has multiple Job roles, instead of following Step 4 and Step 5 in the article:
- Assign the employee to Start Another Job.
- From within the employee's Personal Employment tab, select Key actions

Select Start another job:

From Start another job:
- Select or enter a Start in job date that is after the leaving date in the job above.
- Select the Fixed Term Contract Job that you made the employee a leaver from above.
- Select Save.
- Complete the new End date (as appropriate) and new reason for the Fixed Term Contract.
- Amend any other details, for example, hours or working patterns.
- Follow the steps outlined in People First: How do I flag an employee as a leaver (single-role)?. When doing this:
- Make the employee a leaver from their current Job that is set up for the Fixed Term Contract:
- Where an end date is assigned to the Job, or the Job is inactive, follow these steps to renew or extend a Fixed Term Contract:
- Create a new Job with the (FTC) suffix. For help creating the Job, see People First: How do I create a job (vacant role)?

After creating the Job, select Go to Job Summary:

From Job information, from the Key actions, select Assign person:

From Assign person:
- Select or enter the Job start date.
- Select the Person (employee).
- Select Save.
- Complete the new End date (as appropriate) and new reason for the Fixed Term Contract.
- Amend any other details, for example, hours or working patterns.
Outcome
The Fixed Term Contract (FTC) will be renewed or extended, ensuring the contractual history and the written contract are accurately recorded.
