Overview

This article explains how to publish standalone Data Sets and individual Assessment Collections in KS5. Examples of data sets include Exams, Targets, and Mocks. Assessment collections include Predictions or Current grades.

Instructions

Follow these steps to publish Grades:

1. Select DATA.
2. Select Key Stage 5.
3. Select Cohort.
4. Select Grades.
5. Select Publish Grades. Publish Grades opens on the Publish Individual Reports tab, within which the Data Sets tab is displayed:
   
   
   1. To publish a Data Set:
      1. Locate the Data Set you want to publish in the table.
      2. Select Publish.
   2. To publish an Assessment collection:
      1. Select one of the Assessment tabs (Year 12 or Year 13) based on which year the collection relates to, for example, to publish Y12 Autumn, select the Year 12 tab.
      2. The Assessment tab opens listing two slots per term that can be used for publishing (giving a total of six per year, which across two years gives a total of 12 per cohort):
         
         
         1. Locate the Slot you want to publish.
         2. Select Publish.
         3. Select the assessment you would like to fill the slot:
            
6. A health check is undertaken. If any issues are found, resulting in Health Check Failed, select Cancel and resolve them (see Sisra Analytics: What do the Health Check messages mean when publishing KS5 grades, and how do I fix them? (Admin)) otherwise, continue to Step 7. 
   
7. Configure what and how to publish:
   1. Toggle Headlines on if you want to produce DfE based headline figures in your reports.
   2. Optionally, select a Report Status to control who can access the report:
      1. Unchecked - The data has not been checked and is subject to change. Reports are available to all users.
      2. Checked - Data is complete and checked; available to all users. Reports are available to all users.
      3. Locked – By default, the reports are only available to Admins or those with access to Locked reports. Users within the default User group cannot view reports.    3. Optionally, enter a Report Note that is displayed on the report homepage.
   4. Optionally, toggle Default Report to make the data set / assessment collection the pre-selected report in REPORTS.
8. Select Publish.

Outcome

Publishing starts and progress is indicated:

When the publishing is complete:

1. Select Publish Complete or Go to report to be taken to the reports.
2. Select Close if you want to turn to Grades Publish publish to publish any further data sets or assessments.
