This article aims to explain how to prepare and import KS4 core baselines for Level 3 Value Added and L2 Progress in KS5.

“No valid values for required KS4 APS Baseline’ If you’ve received the above health check when publishing with Headlines in the GRADES area, then completing the steps in this guide should help resolve this. |
1 / Preparing Core Baselines
Once you have compiled the appropriate KS4 core baselines, you must ensure these are prepared into an Excel file, containing Student ID, Student Name, Baseline, and Points. Analytics accepts files saved as CSV, XLSX, XLS or XML format.
We’d recommend using the same ‘Baseline’ names as shown in the example below as this can help speed up the importing process. And, you can import your baselines across multiple files if required.
For information on where to find these baselines, see our article here - KS5: Where to find Core Baselines (Admin)
2 / Importing Core Baselines
Once you have prepared the appropriate baselines and saved to Excel, they can then be imported into Analytics by going to DATA > KS5 > Select cohort > KS4 / EAP > Core Baselines > Import Core Baselines.
You will then be asked to select the relevant import type, based on what format your Excel file is currently in. The two import types are Broadsheet and Grade List, and both of these formats are individually explained further on.
| Broadsheet | Grade List |
|
Used for files which have qualifications/subjects in separate columns, students down the left, and grades scattered throughout.
|
Used for files where the grades are contained in a single column. This may be useful if your file contains additional columns.
|
Importing from Broadsheet
If your file is a Broadsheet, you will need to first select the row which contains the titles of each subject. In the majority of cases this will most likely be be row '1' like in the example below, but you should check this in your file to make sure.
Next, choose your file, enter a clear file title to identify the contents of the upload (this will only be visible in DATA), and click Start Import.
You will then be taken to the File Column Mapping screen:
On this page, you should ensure the Student ID and Student Name columns are correctly mapped, then select the first and last qualification columns, based on your file.
Once all columns are mapped correctly, click Continue with the Import.
Importing from Grade List
If your file has each score in a single column, you would use the Grade List option.
Next, choose your file, enter a clear file title to identify the contents of the upload (this will only be visible in DATA), and click Start Import.
You will then be taken to the File Column Mapping screen:
On this page, you should ensure the Student ID and Student Name columns are correctly mapped, then select the columns containing the Qualification Names, and the Grades.
Once all columns are mapped correctly, click Continue with the Import.
File Health Check
Analytics will then perform a file health check, to ensure the file is suitable for upload. If any issues are found, you can either Cancel the Import, or go Back to previous step to investigate and try the import again. For further information, please see our troubleshooting guide linked here.
If no issues are found, click Continue with the import to proceed to the nest step.
Core Baselines Pairing
On the next screen you will need to tell Analytics which baseline name in your file relates to the specific SISRA Baseline. For example, in the screenshot below there is a baseline name of ‘9-1 Points - GCSE Only APS’ from our file which would be paired with the ‘KS4 APS GCSE’ SISRA Baseline.
If you have any baselines in your file that you do not want to be imported then you can use the ‘Do Not Include’ option. Once each baseline is paired, you can then click ‘Continue with the Import’ to be taken to the import summary and you can then click ‘Complete the Import’ for Analytics to finalise and populate the Core Baseline page with the baselines from your file.
After importing your core baselines, you will be taken to the Core Baselines page to review what you have imported.
We recommend checking this page for issues which may be flagged with a warning icon which should be resolved before publishing. If any students have a Maths baseline from a Level 3 qualification, this can also be set here too, both of which are explained in our article here:
